Position Overview

Our team of six Family Medicine Specialists is offering a unique opportunity for a dedicated Office Manager to join our growing clinic on a full-time, permanent basis. This role is ideal for a professional who thrives in both hands-on and leadership responsibilities. The Office Manager will be instrumental in establishing and overseeing clinic operations within a patient-centered healthcare environment.

Key Responsibilities

The Office Manager will initially help with clinic launch followed by overseeing clinic operations, people leadership, financial administration, and day-to-day problem solving to ensure a smooth patient and provider experience.

Clinic Operations

  • Oversee daily clinic operations to ensure efficient, and timely service.
  • Primary contact for staff scheduling and payroll/benefits administration.
  • Maintain and support EMR systems; provide basic IT/EMR user support and troubleshooting.
  • Monitor workflows, remove barriers, and optimize resources to improve access and service quality.
  • Coordinate facility cleaning/maintenance and liaise with landlords, vendors, and service providers.
  • Manage procurement and inventory for medical/office supplies and equipment.
  • Resolve operational patient concerns and escalate to physicians as appropriate.
  • Support financial tracking and reporting (A/R, expenses, cost vs. revenue).
  • Other duties as assigned.

People Leadership & HR

  • Manage staffing schedules, vacation planning, and daily coverage adjustments.
  • Coordinate payroll and timekeeping administration.
  • Support recruitment, onboarding, and offboarding.
  • Maintain orientation and training processes; identify ongoing learning needs.
  • Facilitate staff meetings and promote a collaborative, patient-focused culture.
  • Support conflict resolution.
  • Maintain job descriptions and clinic policies.
  • Conduct staff check-in's along with performance management and evaluations.

Quality, Compliance & Safety

  • Identify and communicate operational risks, issues, and improvement opportunities to leadership.
  • Promote continuous improvement and consistent clinic policies/processes.
  • Ensure compliance with applicable regulatory requirements.
  • Oversee quality reporting and internal performance metrics.
  • Maintain and improve clinic safety protocols and practices.
  • Opportunity for quality improvement research initiatives

Experience & Education

  • Three to five (3-5) years of experience in office management or administrative leadership (healthcare preferred).
  • Post-secondary education in business or health administration (or equivalent combination of education and experience).
  • Demonstrated leadership experience with the ability to coach and mentor staff.
  • Knowledge of the New Brunswick healthcare system is considered an asset.

Qualifications

  • Strong computer proficiency, including EMR systems and MS Office.
  • Excellent documentation skills and attention to detail.
  • Strong communication and interpersonal skills.
  • Proven problem-solving and conflict resolution abilities.
  • Ability to foster open communication and teamwork.
  • Compassionate, patient, and professional demeanor.
  • Self-motivated with the ability to work independently and collaboratively.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • High level of discretion and commitment to confidentiality.
  • Proficiency in English is required; French is an asset.

Schedule

  • This position requires on-site availability Monday through Friday from 8:00 a.m. to 4:00 p.m. (excluding evenings, weekends, and statutory holidays).
  • The clinic is located at 386 William Bell Drive, Hampton, NB
