Credentialing Coordinator

The Halifax Port Authority is seeking a detail-oriented and experienced Credentialing Coordinator to join our team. Reporting to the Deputy Harbour Master, this role plays a key part in supporting a secure, connected, and high-performing Port - ensuring credentialing processes are well-managed, people are supported, and our operations run safely and efficiently.

What You'll Do:

  • Administer and coordinate Transport Canada-mandated credentialing processes, including Marine Transportation Security Clearances (MTSC), Restricted Area Passes (RAP), and Road Transport Passes (RTP)
  • Liaise daily with Transport Canada's Security Screening Office and stay current with evolving regulations, protocols, and requirements
  • Meet with port stakeholders for scheduled credentialing appointments, providing accurate verification, professional service, and support
  • Verify applicant identity, eligibility, and documentation; process applications and issue Port ID cards and access credentials
  • Operate credentialing systems and equipment, including LiveScan, photography, fingerprinting, and access control platforms
  • Program, audit, and maintain electronic access permissions for restricted port areas using systems such as Lenel and B-Line
  • Maintain accurate credentialing databases, tracking files, and inventory related to Port ID cards and materials
  • Prepare and distribute required reports, approvals, renewals, expiries, cancellations, and official correspondence for stakeholders and Transport Canada
  • Conduct daily financial transactions related to credentialing services and support routine financial and inventory reporting
  • Support port security operations by participating in inspections, committees, exercises, and emergency response activities as required
  • Ensure compliance with Halifax Port Authority policies related to safety, security, cybersecurity, environmental management, and occupational health and safety

What You Bring:

  • A high school diploma (Grade 12); post-secondary education in a related field is considered an asset
  • Three (3) or more years of administrative experience, preferably in a credentialing, access control, or regulated environment
  • Knowledge of, or experience with, Transport Canada's Security Clearance Program and the Marine Transportation Security Act/Regulations
  • Strong communication skills, with the ability to clearly exchange information with stakeholders, colleagues, and leadership
  • Proven customer service skills, professionalism, and the ability to build positive working relationships
  • Strong organizational and time management skills, with the ability to manage competing priorities in a fast-paced environment
  • Sound judgment and decision-making skills, with a results-oriented and accountable approach to work
  • Comfort working with confidential information and applying complex regulatory and procedural requirements
  • Ability to adapt to change, and remain focused in high-demand situations
  • Demonstrated commitment to workplace safety and adherence to safety, security, and compliance standards
  • Proficiency with standard computer applications (e.g., Microsoft Word, Excel) and familiarity with access control systems (e.g., Lenel) considered an asset
