JOB DESCRIPTION
HIRING COMPANY: Parts for Trucks
JOB TITLE: Payroll Specialist
REPORTS TO: Human Resources Manager
PURPOSE OF POSITION:
The Payroll Specialist administers the payroll software program and ensures data entry and processing of bi-weekly payroll for hourly and salaried employees.
MAJOR RESPONSIBILTIES:
- Process bi-weekly payroll for 650 hourly and salaried employees.
- Set up new employees and calculate final pay for terminating employees.
- Prepare Record of Employment documents.
- Set up and maintain time clock profiles and schedules for hourly employees.
- Review entries and verify bi-weekly data entered by managers for hours, attendance, and overtime submissions.
- Calculate and/or process on call sheets, expense reimbursements, changes to employee profiles or deductions, etc.
- Produce and file electronic reports relating to processed payroll.
- Prepare payroll journal entries.
- Run reports and prepare cheque requests or report online for wage garnishes, statutory and other required remittances.
- Monitor workers compensation and employee health tax remittances.
- Prepare year-end reporting or auditing where needed.
- Reconcile and process T4's and other year-end forms and reporting requirements.
- Maintain appropriate records, calculate and enter taxable benefits.
- Respond to general employee inquiries.
- Process changes to employee information.
- Calculate and process payments for annual tool and safety allowances.
- Complete required statistical surveys and requests for information from federal government departments.
QUALIFICATIONS:
- Diploma in Accounting & Payroll Administration, Business Administration, or similar.
- Certified Payroll Administrator preferred.
- Three to five years of experience in a similar role, including experience with both payroll and accounting functions.
- Knowledge of accepted payroll practices and multi-province labour and employment standards.
- Excellent PC skills (especially Excel) and experience with payroll software (e.g., Payworks), including strong ability in report writing.
- Strong attention to detail and accuracy.
- Able to manage time appropriately to meet payroll and other deadlines.
- Able to work with a high level of discretion and confidentiality.
- Strong interpersonal and communication skills for interacting with managers and staff, and responding to inquiries in person, via telephone and e-mail.
- PCP certification preferred (but not mandatory).
- Payworks experience preferred (but not mandatory).
