Position Summary

A full-time position, the Registration Coordinator plays a crucial role in managing and overseeing all aspects of CPA course and exam registrations. This position involves comprehensive responsibility for ensuring the accurate and timely registration of students and candidates for CPA preparatory courses, CPA Professional Education Program (PEP) modules, and associated exams. The Registration Coordinator also handles the management of annual student memberships, ensuring compliance with both national and local registration rules, and maintaining meticulous records of related student documents, such as study permits for international students and training contracts.

With strong administrative capabilities and a genuine interest in delivering a highly satisfying student experience, the Registration Coordinator contributes to the overall success of CPA Atlantic School, its partners, students and candidates. The ideal candidate for this role will possess excellent organizational skills, a keen attention to detail, and the ability to manage multiple tasks simultaneously, particularly during busy cycles leading up to exams and the start of each semester. Strong communication skills and a commitment to maintaining high standards of accuracy and compliance are essential for success in this position.

Major Responsibilities

  • Course and Exam Registration: Serve as the primary point of contact for all CPA course and exam registrations, ensuring all processes including data entry, processing requests, and making changes or cancellations are completed accurately and efficiently.
  • Document Management: Manage the collection, organization, and archiving of essential student documents, including study permits for international students, student contracts, and post-secondary transcripts ensuring all records are up-to-date and easily accessible. Follow-up on incomplete documentation.
  • Compliance: Ensure all registration processes comply with relevant national and local regulations, staying informed of any changes in registration rules and implementing them accordingly.
  • Deferrals Management: Handle requests for course and exam deferrals, processing them in accordance with established guidelines and ensuring all stakeholders are informed.
  • Academic Records Maintenance: Update and maintain accurate records of course and exam marks, ensuring data integrity and confidentiality.
  • Metrics and Trends Analysis: Collect, analyze, and report on internal metrics and trends related to registration, providing insights and recommendations to improve processes.
  • Program Support: Provide general support to the school's program and exam delivery team, assisting with various administrative tasks as needed to ensure smooth operations.
  • Semester Setup and Enrollment Management: Create and configure new semesters within the student portal, ensuring all course offerings, schedules, and exam details are accurately set up to enable student enrollment and registration. Collaborate with academic team to ensure smooth semester launches and resolve any enrollment-related issues promptly.
  • Eligibility Assessment: Review and process the transition of the PREP students to PEP candidates by reviewing their eligibility based on the grades and course completion.
  • Customer service: Respond to questions and provide information to individuals regarding registration procedures, policies, and requirements via phone, email, and in-person interactions.
  • Official Documentation: Provide enrolment and registration confirmation letters to Citizenship and Immigration Canada, student funding agencies, and employers on an as-needed basis.
  • Process Improvement: Identify registration issues and propose solutions to internal stakeholders and managers. Coordinate and implement approved process improvements.
  • Certificates of Completion: Review and issue Certificates of Completion throughout the fiscal year.

Key Competencies Required for Selection

  • Excellent customer service orientation, supporting cultural diversity, ability to communicate effectively with a broad group of students and candidates from diverse backgrounds.
  • Exceptional organizational capabilities, able to coordinate numerous requirements simultaneously.
  • Experience with technology such as learning-management systems or student-registration systems would be an asset.
  • High level of computer literacy, including proficiency in Microsoft Office and Adobe Acrobat Pro.
  • Bilingualism (English/French) would be an asset.
  • Ability to work independently and collaboratively in a small-team environment.
  • A team player, hands-on, deadline driven and willing and able to "roll up the sleeves" to get things done.
  • Exceptionally detail-oriented and organized, ensuring quality and consistent output, ensuring accurate information for internal and external stakeholders.
