About the Role
As the Immigration & Settlement Coordinator, you will provide operational and compliance support within Medavie Inc.'s international recruitment framework, ensuring the accurate and timely coordination of licensure, immigration, and settlement processes for international trained recruits.
You will support employer-driven immigration programs, including LMIAs, work permits, Permanent Residence applications, and regulatory licensure requirements. You will be responsible for structured document management, application preparation, workflow tracking, and proactive deadline monitoring across multiple active files.
The position plays an integral role in delivering a high-quality concierge experience while maintaining strict accuracy, timeliness, and compliance with immigration and regulatory standards. Working in a high-volume, compliance-driven environment, the Immigration & Settlement Coordinator applies administrative precision and process discipline that directly influence regulatory outcomes, processing timelines, and overall candidate experience.
What You'll Do
- Manage operational support for licensure and immigration processes including document collection, data entry, file preparation, structured document naming, status tracking, and proactive deadline monitoring.
- Prepare, assemble, and quality-check employer-driven government applications (e.g., LMIA files, work permits, Permanent Residence packages) under the guidance of the Specialist and/or legal representative.
- Act as a point of contact for candidates to gather information, provide instructions, schedule meetings/webinars, and ensure timely follow-up on outstanding immigration and settlement requirements.
- Maintain trackers, databases, document templates, audit trails, and reporting tools to support immigration volumes and compliance.
- Support onboarding and settlement logistics including webinar coordination, pre-arrival documentation, and post-arrival administrative processes.
- Provide coordination support to internal HR teams regarding immigration documentation, letters, and process steps.
What You Bring
- Post secondary education in administration, HR, Immigration, or a related field.
- 1-3 years of experience supporting immigration, compliance, regulatory, or legal processes.
- Experience with high-volume documentation, tracking, or client communication.
What You Need To Succeed
- Exceptional attention to detail, accuracy, and organizational skills.
- Ability to manage multiple priorities and deadlines in a fast paced, high volume environment.
- Strong written and verbal communication skills.
- Comfortable working with confidential information and structured compliance processes.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Comfortable supporting virtual sessions via Webex, MS Teams, or Zoom.
Nice to have
- RCIC designation (or in progress).
- Experience with IRCC portals (GCKey, Employer Portal, PR Portal).
- Exposure to LMIAs, work permits, PR applications, or regulated professions.
- Proficiency in French.

Pay Range:
23,74 - 26,71 CAD
The Base Pay range may vary depending on the successful candidate or other relevant job-related factors such as knowledge, skills, qualifications, experience and education/training. In addition to Base Pay, eligible Medavie employees may participate in various performance-based incentive programs. Payments under these programs are discretionary and subject to both individual and organizational results.
