Responsibilities:
- Prepares and maintains daily food production sheets based on census, menus, therapeutic diets, and special requests.
- Maintains the Production Services Office operations, including coordination of food production activities and food ordering
- Adjusts food production quantities based on resident census changes, diet modifications, and special events.
- Maintains and distributes production worksheets, distribution sheets, tally sheets, recipes, and menus required to support food production and service operations.
- Maintains menu spreadsheets and food service software systems and supports the use of systems such as CBORD or Meal Metrics.
- Supports inventory control, ordering, and receiving of food, paper products, small wares, office supplies, and cleaning supplies used in departmental operations.
- Ensures documentation related to food production, food safety, and inventory is accurate and maintained for operational, audit, and public health requirements.
- Supports communication and coordination between dietary services, nursing staff, and food service teams regarding resident diet changes, production needs, and special functions.
- Monitors food production information and waste trends to support operational efficiency and resident satisfaction.
- Performs administrative duties including maintaining databases and setting up interview appointments.
- Processes and tracks invoices and maintains appropriate financial and operational documentation.
- Gathers and sorts department mail from Centre Desk and email and distributes accordingly.Provides clerical and computer software support to clinical dietitians, manager, director and food services team leaders.

- Completes data input, printing, sorting, and distribution of recipes, menus, worksheets, distribution lists, production sheets, tally sheets, and requisitions used to run food production and distribution, ensuring information is accurate and consistent
- Schedules special function requests, communicates bookings with production staff and special functions, and completes billing for functions
- Orders all food, paper products, small wares, office supplies and cleaning supplies required for departmental operations
- Assists with tracking inventory levels and ensures stock is rotated according to FIFO (First In, First Out) principles
- Receives and checks food deliveries for accuracy, quality, and completeness of documentation
- Contacts suppliers regarding receiving issues, quality concerns, missing documentation or discrepancies in shipments to ensure accurate records and appropriate follow-up
- Maintains menu spreadsheets and updates food service systems as required to support production planning
- Communicates production needs and adjustments to food service supervisors and production staff.
- Communicates resident diet changes or special events that impact food production and service
- Supports the maintenance of documentation required for food safety, sanitation, and public health inspections including temperature logs and food safety records
- Ensures required documentation is properly filed and retained to support food safety standards, operational audits and regulatory requirements
- Maintains an accurate and organized filing system for all departmental transactions and produces reports as required
- Assists with monitoring food production information to support quality improvement and waste reduction initiatives
- Other duties as required
Qualifications:
- One to two years of relevant work experience in administration, food service operations, dietary services or inventory support
- Community college diploma in Information Technology, Business, Administrative, or Accounting
- Knowledge of Computer Software required
- Experience with food service production systems (CBORD, Meal Metrics or similar) considered an asset
- Food Safety certification an asset
- Able to maintain regular and consistent attendance
Hours of Work: 80 Hours Biweekly ( 8 Hour Shifts )
