The Association of Allied Health Professionals (AAHP) is currently seeking an Administrative Officer to join our team. The AAHP is an independent, public sector union representing a diverse membership of allied health-care professionals in Newfoundland and Labrador (Visit us at www.aahp.ca to learn more).

This position will be temporary, full-time until June 30, 2027.

Reporting to the Executive Director, our Administrative Officer has a multi-functional role and is responsible for a broad variety of administrative duties and responsibilities, including:

  • Acting as the first point of contact for member enquiries and directing these to appropriate AAHP staff;
  • Carrying out general financial administration duties including monitoring and tracking accounts payables and receivables, preparing cheques, verifying expenses and revenues for accuracy and compliance with AAHP financial policies, performing month-end reconciliations and related monthly expense and revenue reports, ensuring accuracy and quality of financial data-entry;
  • Assisting in the development and dissemination of Member communications, such as online posts via social media, member mail-outs and orientation kits;
  • Coordinating AAHP meetings, events and designated Member benefit programs;
  • Organizing and managing an electronic and paper-based records management system;
  • Managing office & operational requirements;
  • Providing general daily clerical and office administrative support to a small professional team; and
  • Performing other administrative functions as required.

The ideal candidate for this position is a highly self-motivated, enthusiastic administrative professional with:

  • excellent verbal, written and interpersonal communication skills;
  • a strong ability to work as part of a small team and while working independently to successfully organize, prioritize and manage daily tasks;
  • an outstanding client service orientation and the initiative to proactively respond to changing priorities and service demands, often in a fast-paced environment with deadlines;
  • clearly demonstrated discretion, tact and sound professional judgment and experience working with highly sensitive, confidential matters;
  • expertise in using Word, Excel, Power Point and Outlook and demonstrated competency in building and merging Excel spreadsheets and workbooks;
  • general accounting and bookkeeping knowledge and experience using accounting software (e.g. quicken; Sage);
  • advanced knowledge of general administrative practices and procedures;
  • a strong ability to prepare, edit, and proof-read and edit documents correspondence while applying an exceptional attention to detail; and
  • experience using social media networks.

You will normally have acquired these skills and competencies through:

  • Successful completion of an accredited post-secondary diploma in business, office administration or a related field; and a
  • Minimum of three years experience in a progressively responsible office administration role with demonstrated experience carrying out key duties and responsibilities outlined.

(An equivalent combination of training and experience may be considered.)
