FINANCIAL ADMINISTRATOR
Reporting to: Executive Director
Location: Semi-Remote, across Nova Scotia
Position Status: Permanent

POSITION SUMMARY & RESPONSIBILITIES
4-H Nova Scotia is seeking a Financial Administrator to support the financial and administrative operations. Working closely with the Administrative Assistant and Program Delivery team, the Processing Clerk will assist with financial record management, reporting, and administrative processes that support the delivery of 4-H programs and organizational operations. The successful candidate will be organized, detail-oriented, and able to manage multiple responsibilities in a collaborative office environment.
Financial Administration
- Process bank deposits and maintain accounts receivable and accounts payable records
- Prepare invoices, cheques, and journal entries
- Complete financial reconciliations and maintain supporting documentation
- Assist with payroll preparation and record keeping
- Support the preparation of monthly and periodic financial statements
- Assist with budget tracking and financial forecasting activities
- Maintain accurate financial records and files
- Support preparation of materials required for the annual audit
Program Administration
- Assist with processing program and loan applications
- Maintain program documentation and application records
- Coordinate program information and documentation for approval processes
- Support reporting on program activity to funding partners and stakeholders
- Support fundraising planning and initiatives
Administrative Support
- Provide general office support including responding to inquiries
- Assist with document preparation, mail-outs, and copying
- Attend meetings and record minutes when required
- Provide administrative support to staff and committees as needed
QUALIFICATIONS
The successful candidate must undergo a Police Record Check, a child abuse registry search, and additional screening, and have a valid driver's license and access to a reliable vehicle.
The ideal candidate will have:
- Experience in bookkeeping, accounting, or financial administration
- Strong organizational and analytical skills with attention to detail
- Experience working with accounting software and spreadsheets
- Ability to work independently while also contributing to a team environment
- Professionalism and discretion when handling confidential financial information
