Administrative Assistant (Temporary/Call In)

Position Summary:
In this role, you will provide a wide range of administrative and human resources support for Churchill Falls. The successful candidate will demonstrate a high level of confidentiality, initiative, and sound judgment while supporting Senior Management, Communications, Safety, Health & Environment (SHE), and the Human Resources department.
Key Responsibilities:
- Backfill for the Safety, Health & Environment Assistant and Executive Assistant on a call‑in or as‑needed basis.
- Provide day‑to‑day administrative support, including data entry, spreadsheet management, scanning, filing, and document control.
- Organize meetings, prepare materials, coordinate timesheets, and record and distribute meeting minutes.
- Prepare purchase orders, code invoices and expense forms, and assist with presentation development using graphic tools/software.
- Support personnel administration activities for Churchill Falls employees.
- Coordinate travel to and from site, including business, medical, bereavement and training.
- Coordinate the corporate fixed‑wing travel schedule.
- Issue flight tickets, verify invoices, and review billing for monthly reporting.
- Communicate effectively with employees, dependents, and members of the public while handling confidential and sensitive information related to employee files, benefits, and HR processes.
- Perform other administrative and technical duties as assigned.
Safety & Environmental Responsibilities
You will be responsible for your own safety and that of your co‑workers by actively supporting and following the Corporation's Safety and Health Program. You will also be responsible for any environmental aspects of the job and performing work in an environmentally responsible manner.
What You'll Need
- A diploma from a two‑year Office Administration program.
- Ideally, a minimum of two (2) years of recent administrative experience.
- Strong proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint.
- Experience supporting executive, communications, Safety, Health & Environment (SHE), or Human Resources functions is considered an asset.
- An equivalent combination of education and experience may be considered.
