Reporting to the Assistant Director, People and Culture, the Payroll & Administrative Assistant plays a key role in ensuring accurate and timely payroll processing while supporting a wide range of HR administrative functions. What You'll Do
In this dynamic role, you'll support both payroll and HR operations, including:
Payroll & Benefits Support
- Work closely with the Payroll & Benefits Coordinator to process bi‑weekly and semi‑monthly payrolls.
- Prepare payroll summaries, verify and reconcile data, and ensure compliance with collective agreements and university policies.
- Support self‑service users and supervisors with payroll-related questions.
- Complete payroll administration tasks: pay statements, remittances, Records of Employment, Statistics Canada surveys, and system reporting.
- Assist with annual tasks such as T4 processing, vacation accruals, benefit renewals, and year-end reporting.
- Oversee student positions by processing student hire forms, hourly rate changes, account changes and ending positions upon notification.
- Provide backup support during staff absences.
Human Resources Administration
- Maintain employee files and departmental records for training, skills, workshops, and other HR documentation.
- Assist with new hire benefit enrollments, pension packages, and tracking of various employee work life cycle related documentation.
- Support the organization of employee events including the annual holiday social, recognition events, and retiree celebrations.
- Maintain office supply inventories and benefit materials.
Projects, Systems & Process Improvement
- Assist with departmental audits and ongoing HR projects.
- Support documentation of internal processes and procedures.
- Contribute to the implementation of new systems or programs.
- Help identify and support improvements in processes and technology.

What You Bring
We're looking for someone who brings a mix of education, skill, and enthusiasm:
- Diploma in Accounting or Human Resources.
- Payroll Compliance Professional (PCP) designation an asset.
- 1-3 years of payroll, benefits, or HR experience in a medium to large organization.
- Experience with payroll/HRIS systems is a strong asset.
- Proficiency with M365 and a willingness to learn new software.
- Excellent communication and customer‑service skills.
- Strong organizational skills with the ability to prioritize and adapt.
- Accuracy, attention to detail, and strong numerical/analytical skills.
- Ability to work independently and collaboratively in a team environment.
- Ability to manage confidential information with discretion.
- Knowledge of collective agreements, benefit plans, CRA regulations, and university policies is an advantage.
