SENIOR INSIDE PARTS REPRESENTATIVE - DARTMOUTH

Reporting to the Parts Manager

Are you ready to take ownership of a critical department and make a real impact? As our Senior Parts Representative, you will be the first line of escalation for parts issues, a strategic partner to the Service team, and a leader who drives best-in-class standards. You'll challenge inefficiencies, coach team members, and ensure that parts availability supports peak equipment performance and internal and external customer satisfaction.

What You'll Do

  • Own the integrity of parts departmental processes, ensuring consistent application and ongoing improvement.
  • Provide regular, constructive coaching to junior team members to foster growth, accountability, and alignment with best practices.
  • Act as the first line of escalation for parts-related issues, proactively stepping into complex or high-friction situations to drive resolution while maintaining clear communication with technicians, Service management, and customers.
  • Take full ownership of the parts process - from counter and phone orders to internal Service requests - ensuring timely fulfillment and follow-up.
  • Partner with the Senior Buyer to anticipate stock usage trends, review consumption data, and maintain inventory levels that match demand and seasonality.
  • Contribute to forecasting discussions to prevent shortages or excess inventory.
  • Collaborate closely with the Service team to anticipate upcoming repairs, major jobs, and fleet maintenance requirements.
  • Actively seek and incorporate technician feedback to continuously refine stocking strategies and improve parts availability.
  • Proactively source new and alternative parts solutions to reduce equipment downtime.
  • Coordinate inbound and outbound shipments efficiently for internal and external customers.
  • Maintain disciplined inventory control practices, including cycle counts and participation in annual physical inventory.
  • Manage warranty parts, and vendor return processing in alignment with reporting standards and supplier requirements.
  • Keep the parts environment organized, efficient, and reflective of operational excellence.
  • Other duties as directed by the Parts Manager.

What We Expect from You

  • Strong personal accountability - proactively stepping into complex or high-friction situations, driving resolution and maintaining clear communication across the team.
  • The ability to challenge inefficiencies and implement practical, data-informed improvements.
  • Coaching mindset: provide consistent feedback and foster a culture of continuous improvement.
  • Solutions-oriented approach, balancing customer urgency with cost control.
  • Commitment to a high-performance culture built on measurable outcomes and industry best practices.

What You Bring

  • 5+ years of progressive parts experience, preferably in heavy equipment or material handling.
  • Strong parts technical aptitude with the ability to read and interpret parts diagrams and equipment specifications.
  • Demonstrated knowledge of industry-standard parts processes.
  • Proven understanding of inventory control principles, forecasting, and consumption trends.
  • Excellent time management and the ability to prioritize and execute under pressure.
  • Forklift operation experience (training provided if required).
  • Ability to lift to 70 lbs.
  • Valid driver's license & driver's abstract.
  • Exceptional organizational discipline and attention to detail.
  • Red Seal Parts certification considered an asset.
  • Degree in supply chain management or business administration will be considered an asset.
  • Certification as a Supply Chain Management Professional will be considered an asset.

This is not just a parts job - it's a chance to lead, influence, and drive excellence in a critical department. If you thrive in a high-performance environment, enjoy coaching and developing others, and take pride in owning processes end-to-end, this is the role for you.
