JOB TITLE Administrative Assistant

OVERVIEW

We are seeking a highly organized and efficient Administrative Assistant to join our team at Associated Imaging Consultants Incorporated (AIC Inc.) to support a busy Diagnostic Imaging practice. AIC Inc., located at the QEII Health Sciences Centre, consists of 40 radiologists providing comprehensive diagnostic imaging services to the adult population of Nova Scotia in the Central Zone. Our services extend across multiple sites including the Victoria General Hospital, Halifax Infirmary, IWK Health Centre, Bayers Lake Community Outpatient Center, Hants Community Hospital, and Cumberland Regional Health Care Centre.

The ideal candidate will demonstrate exceptional communication skills and the ability to effectively multitask. This role is pivotal in maintaining productivity and efficiency within the Diagnostic Imaging Department.

KEY RESPONSIBILITIES

Administrative Support to the Associate Clinical Chief:

  • Schedule, coordinate, and take minutes at quarterly Clinical Affairs Committee meetings, which include Section Heads, Modality Leads, site representatives from QEII, DGH, and Cobequid/Hants, along with the Director of Diagnostic Imaging and Zone Department Chief.
  • Manage meeting calendars and communications.
  • Develop reports required for multiple meetings.
  • Support policy development and documentation.
  • Work closely with the administrative assistant of the Central Zone Department Chief and Director of Operations.

Administrative Support to Department Section Heads:

  • Schedule, coordinate, and take minutes for all Section meetings within the Diagnostic Imaging Department, submitting to the Associate Clinical Chief and Section Heads.

General Team Support:

  • Provide support and cross-coverage for other members of the AIC staff, support billing processes for efficient tracking of staff and learners in the Department.
  • Assist in optimizing the physical environment for radiologists, including ordering small equipment and arranging ergonomic assessments.

REQUIRED QUALIFICATIONS

  • Completion of post-secondary education is required. Completion of Medical Administrative course or medical terminology training will be an asset.
  • Proven experience in administrative support roles, preferably within a healthcare or medical setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), MS Teams, and familiarity with Electronic Medical Records (EMR) systems.
  • Excellent verbal and written communication skills with a keen attention to detail.
  • Strong ability to prioritize tasks, manage time effectively, and adapt to changing priorities in a dynamic and fast-paced environment.
