Position description
The Housing, Conference & Events Supervisor is responsible for overseeing the daily operations of university housing facilities and conference and event services. This includes supervising student housing processes such as room selection, waitlists, and special accommodations, while ensuring excellent customer service. The Supervisor also plays a key role in planning, coordinating, and executing both university-hosted and external events throughout the year. They are responsible for delivering high-quality, one-stop-shop services for small and large conferences and events, and providing exceptional customer service to students, staff, faculty, and guests. This role supports a vibrant university community by demonstrating cultural sensitivity, fostering an inclusive and respectful campus environment, and upholding the values that guide positive experiences for all students, staff, faculty, and visitors.
Position Responsibilities
Housing
- Supervise housing assignment processes, including room selection, room transfers, waitlists, ESA contracts, and special accommodations
- Coach and support residence staff in maintaining high service standards and following operational procedures, including conducting monthly building inspections, organizing fire drills, and ensuring accurate reporting
- Coordinate with Facilities and Residence Life to ensure timely maintenance and response.
- Monitor occupancy trends and provide reports as required
- Recruit, train, supervise, and schedule student housing staff; monitor and approve staffing hours as necessary
- Facilitate extended student housing services such as early arrival groups, Winter Stay and Bridging Housing, including liaising with various campus partners
- Assist with promotional campaigns and marketing initiatives
- Reconcile house accounts and determine appropriate billing for damages
- Support and contribute to long-term departmental goals
Conferences & Events
- Recruit, train, supervise, and schedule a team of seasonal staff; monitor and approve staffing hours as necessary
- Execute client contracts, event planning timelines, and service delivery
- Collaborate with various campus departments including Computing Services, Facilities Management, Purdy Crawford Center Arts, Music, etc. to ensure seamless event execution
- Monitor billing and revenue tracking for events
- Evaluate client satisfaction and implement improvements
- Provide event support including logistics, planning, venue booking, catering, participant registration, and accommodations in liaison with internal/external contacts, including Facilities Management, dining services, etc.
- Support sales activities including responding to general inquiries and preparing quotes.
- Maintain accurate client records and assist with market research
- Prepare operational and sales activity reports for the Manager
- Monitor inventory and coordinate logistics for events and accommodations.
- Assist with promotional campaigns and marketing initiatives
- Perform other duties as required in support of departmental objectives
Qualifications/skills
- College diploma or university degree in Business Administration, Hospitality, Tourism, Public Relations, or a related field
- Minimum of 2 years of experience in event management, hospitality, university housing, or conference operations, or a related field
- Ability to work flexible hours, including evenings, weekends, and holidays during peak periods
- Excellent communication and interpersonal skills with a strong focus on customer service and the ability to work with a wide range of clients, including students, staff, event organizers, and guests
- High level of professionalism and sensitivity toward the cultural diversity of the campus community
- Proficiency in Microsoft Office Suite and various social media platforms
