OFFICE ADMINISTRATOR

The Basilica Parish

The Basilica Parish is seeking an organized and community-minded Office Administrator to support the daily operations of the parish office. This role helps ensure smooth administrative, financial, and pastoral functions while serving as a welcoming presence for parishioners, visitors, and volunteers.

Position Summary

The Office Administrator oversees a wide range of duties including donor stewardship, financial administration, sacramental record keeping, communications, and general office support.

Key Responsibilities

  • Greet visitors, answer calls, and provide administrative support to clergy and staff.
  • Prepare the parish bulletin and manage general office communications.
  • Assist with parish programs, ministries, and event logistics.
  • Maintain sacramental records and mass intention records.
  • Manage online giving platforms and track giving activity.
  • Maintain donor records, issue charitable tax receipts, and support stewardship activities.
  • Manage vendors and invoices, reconcile deposits, monitor bank accounts, and support fundraising initiatives, including the financial analysis of these initiatives.
  • Support gift shop sales, inventory, and supply ordering.

Qualifications

  • Strong attention to detail and accuracy.
  • Effective written and verbal communication skills.
  • Ability to manage multiple priorities.
  • Professionalism and confidentiality.
  • Proficiency with office software and databases.
  • Understanding of financial processes and stewardship.
  • Customer service orientation.
  • Experience in faith?based or not?for?profit environments is an asset.

Work Environment

Our office is a collaborative, faith?centered setting with regular interaction with clergy, staff, parishioners, and volunteers. We offer a 35-hour work week, primarily during normal business hours. Occasional evenings or weekends will be required for parish events.
