Corporate Administrator

Location: St. John's, NL

Reports to: Executive Chairman

Oceanex is seeking a highly experienced Corporate Administrator to join its Corporate Office. This senior administrative role supports the Executive Chairman and Executive Vice President and plays a key role in corporate governance, executive coordination, and corporate communications. Recruitment is underway in anticipation of an upcoming retirement.

The Role

The Corporate Administrator serves as a trusted partner to executive leadership and is responsible for ensuring the effective operation of the Corporate Office. Acting as a primary point of contact for internal and external stakeholders, this role requires sound judgment, discretion, and the ability to manage complex priorities across governance, administration, and communications.

This is a highly trusted and visible role within Oceanex, offering the opportunity to work closely with senior leadership and contribute meaningfully to the company's governance, communications, and overall effectiveness.

Key Accountabilities

  • Provide senior-level administrative and executive support to the Executive Chairman and Executive Vice President.
  • Coordinate and support Board of Directors and Shareholder governance activities, including meetings, materials, resolutions, and minutes.
  • Oversee the day-to-day operations of the Corporate Office, including office administration, budgeting, and staff coordination.
  • Act as a liaison between executive leadership, management, Board members, and external stakeholders.
  • Lead and coordinate corporate communications initiatives, including internal communications, media relations, and emergency response communications.
  • Support corporate compliance, reporting, and recognition programs, including regulatory filings and participation in national business programs.
  • Provide administrative and coordination support to senior management and General Counsel as required.

Qualifications

  • Completion of a minimum two-year Office Administration or Business Management program, or an equivalent combination of education and experience.
  • Minimum of 10 years' experience in a senior Executive Assistant, Corporate Administrator, or Office Management role.
  • Strong knowledge of executive administration, corporate governance processes, and office management practices.
  • Advanced proficiency with office software and administrative systems.

  • Exceptional interpersonal and relationship-building skills, including experience working with executive leadership and Boards.
  • High degree of professionalism, discretion, and independent judgment.
  • Excellent written and verbal communication skills.
  • Strong organizational, time management, and problem-solving abilities.
