Our team works closely with students, faculty, and staff to deliver essential services-from admissions and academic advising to course scheduling, exam administration, graduation planning, policy guidance, and reporting-all in support of UNB's academic mission.

Standard Work Hours: Mon - Fri | 8:15 am - 4:30 pm | 36.25 hours per week

YOUR FOCUS

Reporting to the Associate Registrar, Admissions Services, the Admissions Officer provides expertise in the selection of Canadian and permanent resident applications for admission to undergraduate programs at UNB. The Admissions Officer analyzes qualifications, utilizing University admission standards and regulations for the timely processing of admission files, including all admission-related communications. This role acts as a resource to guidance counselor, members of the University community, prospective students, parents and other community members seeking admissions support.

  • Respond to admission inquiries while ensuring the integrity of information provided is offered in a constructive manner.
  • Read, interpret and evaluate students' academic credentials and make admissions/denial decisions in accordance with approved admissions policies.
  • Adhere to all appropriate Admissions policies and Maintain an in-depth knowledge of calendar admission criteria for all faculties and their respective programs.
  • Maintain communication with faculties and departments to enhance the process of Admissions and establish positive working relationships.
  • Maintain ongoing communication with individual prospective students regarding admission matters such as application process, programs of application, entrance requirements and approved upgrading options.
  • Oversee all aspects of application data management, including daily import of online applications.
  • Record and manage all supporting application documents in a paperless environment, including communication to applicants concerning outstanding documents and application status.
  • Authenticate official documents according to established Admission procedures.
  • Prepare the application file for admission and transfer credit assessment {if applicable) by the appropriate faculty.
  • Liaise with Faculty staff to ensure efficient application management and acts as a resource on admission matters.
  • Manage all aspects of electronic and written correspondence to applicants throughout the admissions process.
  • Act as the front-line admissions representative at targeted recruitment events offering Admission on the Spot™.
  • Participate as an active member of the Registrar's Office and Admissions team in a respectful positive manner with a focus on customer service.
  • Assist on special projects when required and assists in other areas of the Registrar's Office as assigned.

WHAT YOU BRING

  • Undergraduate degree.
  • Minimum 5 years of related experience.
  • Customer service experience.
  • An equivalent combination of training and experience may be considered.

Additional Strengths

  • Client service experience with students is an asset.
  • Demonstrated ability to operate a variety of software including Microsoft Office.
  • Experience with Colleague UI or other database management systems, CRM Recruit (or other CRM system).
  • Experience with document management software.
  • Demonstrated ability to learn and apply institutional policies and procedures.
  • Experience working in a confidential setting and demonstrate good judgement in dealing with sensitive or problem situations.
  • Superior, professional written and verbal communication, critical thinking, and problem-solving skills.
  • Ability to demonstrate self-direction, aptitude to work in a service-oriented environment as both a member of a team and independently.
  • High level of accuracy and attention to detail.
