We are seeking a permanent, full-time Document Centre Clerk to join our administrative team in Halifax, NS.

POSITION OVERVIEW

The Document Centre Clerk plays a key role in supporting our firm's administrative operations. This role is responsible for overseeing the organization of the document centre which includes printing large and complex files, ensuring accuracy and expediency, and managing of supplies.

SUMMARY OF RESPONSIBILITIES

  • Copy/print/scan/bind documents for lawyers and staff, prioritizing by deadlines and level of urgency;
  • Trouble shoot basic machine break downs and contact specialized support for advanced problems;
  • Proactively refill paper for the photocopy machines, order toner cartridges as needed, and keep office supplies areas stocked;
  • Proactively order office supplies and estimate costs;
  • Shred confidential documents as requested;
  • Create archive, tabs and stamp documents with page numbers using Ricoh Total Flow and save documents as requested by lawyers and staff members;
  • Provide basic training for new lawyers and staff in the operation of photocopy and scan machines;
  • Provide coverage to the reception team as needed;
  • Other duties as assigned.

QUALIFICATIONS AND SKILLS

  • Minimum of 1-year experience in a copy/print centre environment or comparable administrative experience in a legal, business or technical environment;
  • Demonstrated ability to provide superior customer service and place value on being a positive and professional ambassador of the firm;
  • Ability to work independently, follow instructions with minimal supervision and take initiative;
  • Ability to multi-task, maintain a sense of urgency, meet deadlines and adapt to changing priorities;
  • Ability to use good judgement and be resourceful;
  • Must have proficient computer skills and demonstrate professional phone etiquette;
  • Ability to communicate in a professional manner with lawyers and team members;
  • Willingness to learn and contribute to the team.
