Your Impact as Accounting Assistant

Reporting to the Controller, and ultimately to the VP of Strategy and Corporate Development, the Accounting Assistant provides essential support for the accounting and payroll functions. The Accounting Assistant is responsible for day-to-day accounting activities, with a focus on accounts payable and receivable functions. The Accounting Assistant also supports the payroll administrator and acts as a backup when required, ensuring timely and accurate staff payments.

How You Will Contribute

Accounting Operations

  • Monitors the accounting inbox and corresponds with vendors, customers and other stakeholders
  • Obtains invoice approvals and coordinates bi-weekly payments
  • Maintains vendor records including primary contacts, direct deposits/EFT details, and preferred payment methods
  • Assigns G/L, vendor, and payment codes with direction from the Controller
  • Reconciles and posts corporate credit card statements and corresponds with staff to ensure receipts and reconciliations are in line with corporate usage policies
  • Supports the implementation and upkeep of the accounting system, Sage 300
  • Creates accounts receivable invoices, including quarterly municipal billing, maintains A/R contact details, sends invoices, posts A/R payments, and follows up with customers and municipalities on overdue payments
  • Assists the Controller with annual audit preparation
  • Updates journal entries templates, lead sheets, bank reconciliations, and other general accounting tasks with direction from Controller
  • Organizes and maintains the Finance directory and supporting files to ensure accurate and compliant financial records
  • Prepares reports for regulatory bodies and external agencies, as required

Payroll

  • Assists with payroll reconciliations by reviewing timesheets, verifying hours worked, and ensuring deductions and benefits are accurately recorded
  • Supports the review and approval of payroll, including checking data for accuracy, preparing payroll reports, and helping resolve discrepancies
  • Serves as a backup for payroll processing when primary payroll staff are unavailable, ensuring timely and accurate employee payments.

Performs other related duties or participates in other activities, as assigned.

What You Bring

A post-secondary degree, diploma, or certificate in a relevant field, and a minimum of 3 years of relevant experience in administration or accounting, or an acceptable combination of relevant training and work experience

You also have the following skills or experience:

  • Fundamental accounting principles and practices, including accounts payable, accounts receivable, and bank reconciliations
  • Demonstrated experience in payroll processes, including deductions, benefits, and payroll reporting
  • Familiarity using accounting and payroll systems
  • Experience in the administration of accounts payable and accounts receivable
  • Analytical and problem-solving skills to review transactions and identify discrepancies
  • Strong attention to detail and accuracy in data entry, reconciliations, and reporting
  • Strong communication skills to support inquiries and prepare reports
  • Ability to establish and maintain effective working relationships
  • Effective organizational and time management skills to manage multiple tasks and deadlines
  • Reliable administrative support, ensuring accurate documentation, record keeping, and coordination of routine processes
  • Follows up on tasks, requests, and deadlines to ensure timely completion and effective communication across teams

Asset

  • Experience processing payroll, with preference for familiarity with ADP Workforce Now.
  • Experience with Sage 300 and Concur.

Special Requirements

  • This role requires occasional travel throughout the province and requires a valid Class 5 driver's license and access to reliable transportation.

PROPERTY VALUATION SERVICES CORPORATION (PVSC)

Property Valuation Services Corporation (PVSC) provides property assessment services and information for Nova Scotia's municipalities and property owners in accordance with the Nova Scotia Assessment Act.

PVSC was created on April 1, 2007 as an independent, not-for-profit organization under the terms of the Property Valuation Services Corporation Act.

Who We Are:

We are governed by a Board of Directors and led by Chief Executive Officer, Scott Farmer.

Our Board includes municipal officials, members with municipal experience, independent members, and the Chief Executive Officer of the Nova Scotia Federation of Municipalities (NSFM).

We employ approximately 120 people that live and work in over 60 communities across the province. In 2018, we shifted to a predominantly work-from-home model, but we also have offices in Dartmouth and Truro.

What We Do:

Each December, we deliver an Assessment Roll to all 49 Nova Scotia municipalities so local governments can set their property tax rates. Every January, we deliver over 638,000 Property Assessment Notices to property owners so they can review, make inquiries, or appeal their assessments before receiving their municipal property tax bills.

We also administer the Capped Assessment Program (CAP) and the Seasonal Tourist Business Designation Program on behalf of the Nova Scotia government.

We do not have the authority to set tax rates, collect taxes, create tax policy or provide tax relief. Those important roles are fulfilled by Nova Scotia's provincial and municipal governments.

We follow internationally accepted standards for mass appraisal from the International Association of Assessing Officers (IAAO) and our assessors hold a variety of professional assessment and appraisal designations.

In 2015, PVSC was the first assessment jurisdiction in North America to be certified by the International Property Tax Institute (IPTI) for compliance with our legislative mandate and with IAAO best practices and quality standards.

In 2020, we were presented with the "Distinguished Assessment Jurisdiction" award by the IAAO in recognition of our achievements applying machine learning to property assessment.
