Position Summary
Reporting to the VP of Marketing, the Event Specialist supports the planning, coordination, and execution of Chamber events from concept to completion. This role is ideal for someone who thrives in a fast-paced, collaborative environment, enjoys managing details, and takes pride in creating exceptional experiences for members and guests.
You will work across departments, including communications, sponsorship, membership, and policy, to deliver high-quality events that align with the Chamber's mission and brand.
The Chamber work environment is open and collaborative; however, this role requires a self-starter who can manage their time wisely and juggle multiple priorities.
Key Responsibilities
Event Planning and Execution
- Lead the coordination of assigned Chamber events such as luncheons, galas, conferences, and networking sessions.
- Manage all event logistics, including venue booking, contracts, catering, décor, AV, registration, and onsite coordination.
- Maintain event critical paths, budgets, checklists, and timelines.
- Work with suppliers, sponsors, and venues to ensure seamless event delivery.
- Maintain open, effective professional relationships with speakers, sponsors, venues, décor partners, suppliers and audio-visual services.
- Support hybrid and virtual event execution using tools such as Zoom, Microsoft Teams, etc.
- Participate in brainstorming sessions for new event ideas, formats, and experiences.
Sponsorship and Revenue Support
- Collaborate with the sponsorship team to develop event sponsorship packages and deliver benefits.
- Support the development and execution of event budgets, tracking expenses and ensuring profitability.
- Provide excellent customer service to sponsors, partners, and members before, during, and after events.
Marketing and Communications
- Coordinate event promotion with the Communications team, including website listings, e-bulletins, social media, and Business Voice magazine.
- Work with the Communications team to prepare event materials such as programs, signage, slides, and name badges.
- Ensure brand consistency across all event touchpoints.
Administration
- Maintain event documentation in accordance with internal processes.
- Work with the Director of Marketing to establish and maintain budgets for each event, assist with event revenue, coordinate attendance, and invoicing, along with updating and overseeing the Annual Event Budget to stay on track.
Qualifications and Experience
- Minimum two years of experience in event coordination, preferably in a corporate or non-profit environment.
- Post-secondary education in Event Management, Marketing, Communications, or a related field considered an asset.
- Proficiency with Microsoft Office Suite and event management platforms such as Chamber Master, Zoom, or similar.
- Excellent communication, time management, and problem-solving skills.
- Strong attention to detail and ability to manage multiple projects simultaneously.
- Flexibility to work occasional early mornings, evenings, and weekends for events.
- Vehicle and a valid driver's license is required for this role.
