Salary Range: $21.34 - $25.28 per hour

YOUR FOCUS

Reporting to Associate Dean Undergraduate Programs, this position is responsible for providing day-to-day administrative support for the Undergraduate Student Programs Office (BBA office); managing student inquiries via email/phone; responding to general inquiries via email/phone; and maintaining course files for the Programs and Student Services office in addition to other administrative duties.

  • Provide assistance to students and guests via phone, email, Teams, and in person at the Programs and Student Services reception.
  • Respond to general requests for information from potential and current students regarding programs via telephone, email, and in person.
  • Schedule appointments for students with their appropriate academic advisor.
  • Provide advisors with context on students' mindset and completion of forms prior to appointments.
  • Refer students to campus resources as appropriate.
  • Assist current students with filling out academic related forms.
  • Co-ordinate drop-in advising sessions.
  • Prepare and submit financial claims such as personal reimbursements and travel claims for programs office staff.
  • Manage, organize and code Pcard receipts and hospitality forms prior to monthly reconciliation.
  • Liaise with Registrar's Office, Admissions, College of Extended Learning regarding student files.
  • General office duties including filing, copying, scanning, checking and distributing mail.
  • Attend SOAR and registration events to help field questions and troubleshoot issues during the process.
  • Administer exit surveys for BBA and MBA programs.
  • Other duties as assigned by the Associate Dean.

WHAT YOU BRING

  • Certificate or diploma in office administration. A combination of education and experience would be considered.
  • Minimum 3 years of relevant experience.

  • Strong MS Office skills.
  • Ability to manage multiple tasks.
  • Experience in the use of Colleague.
