The Production Planning & Materials Coordinator plays a key role in ensuring smooth daily operations by managing production schedules, forecasting material requirements, maintaining ERP system accuracy, and coordinating between departments.
This is a hands-on, fast-paced role - ideal for someone who is highly organized, very comfortable with computers, quick to solve small problems ("little fires"), and effective at keeping everyone aligned when priorities shift.
The role ensures that production schedules, material availability, and shipping plans are synchronized to meet customer commitments and operational targets.
Key Responsibilities
Planning & Scheduling
- Prepare and maintain weekly and departmental production schedules.
- Run MRP and other programs to align raw materials with production demand.
- Update APS and ERP systems to reflect real-time priorities.
- Coordinate schedule changes with Production, Sales, and Purchasing.
- Establish and maintain the shipping schedule to meet customer delivery timelines.
Materials & Inventory Control
- Perform negative inventory checks, job receipt adjustments, and BOM accuracy verifications.
- Create and process cycle counts; support physical inventory activities.
- Monitor and report WIP status and material availability.
- Ensure all transactions are entered accurately and on time.
Cross-Department Coordination
- Work closely with Sales to communicate lead times, order changes, and shipping priorities.
- Support Purchasing by providing timely requisitions and updated requirements.
- Liaise with Production and ERP teams to align system data with shop floor activities.
- Proactively identify small issues before they escalate - and coordinate quick fixes.
Reporting & Continuous Improvement
- Prepare and distribute monthly and weekly reports (production and shipping targets vs. actuals).
- Support month-end paperwork processing.
- Contribute to process improvements in planning, scheduling, and reporting.
- Help streamline information flows between departments.
Required Skills & Qualifications
- Minimum 1-2 years' experience in production planning, scheduling, or materials coordination in a manufacturing environment. (preferred)
- Strong proficiency in ERP systems (preferably SYSPRO) and advanced Excel/Google Sheets skills.
- Excellent computer literacy and adaptability with new software/tools.
- Proven ability to handle multiple priorities, respond quickly to changes, and resolve issues calmly.
- Strong communication and teamwork skills.
- High attention to detail and follow-through.
Nice to Have
- Experience with APS (Advanced Planning & Scheduling) systems.
- Background in continuous improvement or lean manufacturing environments.
- Familiarity with shipping and logistics coordination.
Accountability
- Reports directly to the Plant Manager.
- Works closely with Sales, Purchasing, ERP, and Production departments.
- Success is measured by schedule adherence, material availability, on-time delivery, and data accuracy.
Compensation
$45,000 - $50,000 Annually
