The opportunity:

The Administrative Coordinator will play a vital role in supporting program teams, ensuring effective coordination and administration of program activities, and, on occasion, carrying out other day-to-day administrative office tasks.

The job requires the incumbent to have excellent interpersonal communication skills, time management, and the ability to multitask. They are dedicated to building great relationships while providing exceptional support to staff at all levels. The responsibilities and expectations of this role may fluctuate and evolve with the business's future needs.

  • Support program teams with day-to-day coordination and administrative tasks
  • Perform a variety of administrative tasks associated with programs (updating tracking sheets, processing rebate cheques, scheduling site visits, documenting processes, identifying and supporting process improvements)
  • Depending on the program assigned to you, could be processing applications, including such tasks as verifying information, data entry, confirming energy savings, and approving/denying submissions
  • Oversee the program(s) electronic document storage, including creating folders scanning and filing/saving correspondence, program documentation, and reports
  • Answering program participant inquiries, communicating with partners and service providers on application status, and following up as required
  • Assist with the preparation of presentations, including proofreading and formatting; compile reports/spreadsheets and draft correspondence for review as required
  • Occasionally responsible for mail pick-up and sorting, arranging couriers, booking meeting rooms/facilities, catering, etc.
  • Perform other duties as required

What Will Help You Succeed?

  • High school graduate or
  • Post-secondary administrative professional training, i.e., certificate or diploma or comparable experience.
  • Proficient with all Microsoft Office software (Excel, Word, PowerPoint, Outlook, Teams);
  • High level of professionalism, integrity, and discretion
  • Excellent oral and written communication skills
  • Ability to provide excellent customer service
  • Must be self-motivated, able to work independently or collaboratively, take initiative, and handle multiple tasks while prioritizing according to timelines
  • Type and proofread correspondence, forms, and other documents with a high degree of detail and accuracy

What to expect in your first several weeks on the job:

In the first week, expect to:

  • Learn about the program you are supporting.
  • Meet with the other Admin Coordinators and the team you will be supporting and learn how this role supports the program
  • Have introductions to other functional areas of the business and how they interact with the program
  • Get familiar with the general program processes and how the program operates.
  • Be introduced to tracking systems and communication templates
  • Learn more about EfficiencyOne/Efficiency Nova Scotia

In the first month, expect to:

  • Begin processing applications.
  • Learn how to navigate and understand the lay of the land of other stakeholders and program administrators.
