Dre. Roxanne Ouellet is seeking a Medical Office Administrator at Clinique Dro. As a key member of our clinic, the Medical Office Administrator will play an integral role. If you have administrative experience in a healthcare setting and consider yourself organized, empathetic, and an excellent communicator, we would love to hear from you!

Key Responsibilities, as required/applicable:

  • Greet incoming patients and provide a professional reception service.
  • Handle all incoming telephone calls.
  • Prepare and send blood test requests as directed by clinical staff.
  • Process patient payments and issue receipts.
  • Schedule and manage patient appointments, including walk-ins.
  • Manage and respond to requests and queries from pharmacies.
  • Receive, sort, and distribute incoming faxes in a timely manner.
  • Monitor and maintain office inventory and supplies.
  • Ensure patient lists and records are accurate and kept up to date.
  • Scan and upload relevant documents to patient files.
  • Collect mail from the hospital and post office box and distribute as appropriate.
  • Perform all other related administrative or special tasks as per operational requirements.

Working Conditions & Location:

  • Our clinic operates Monday through Thursday from 8:00 AM to 4:00 PM and remains closed on Fridays, evenings, weekends, and statutory holidays.
  • The Medical Office Admin position requires availability to work on-site from Monday to Thursday.
  • The work hours for this position will be Monday (8am-4pm), Tuesday to Thursday (8am-4:30pm). Based on preferences, the possibility of working 5 days/week can be further discussed with the employer. Note that the schedule may slightly vary to meet operational requirements.
  • This role requires travel to the hospital for mail collection; a valid means of transportation is essential.
  • The clinic's team currently includes Dre. Roxanne Ouellet, 2 Nurse Practitioners, 2 Registered Nurses, and 2 administrative staff members.
  • The clinic is located at 470 Ryan Street, Moncton, NB.

Qualifications:

  • Ability to be efficient, organized and perform a variety of tasks within a fast-paced environment while interacting effectively with patients and healthcare providers.
  • A respectful, empathetic, and helpful individual who exhibits compassion and patience.
  • Strong computer skills (including using the internet, electronic medical record system, MS Office software, etc.).
  • Ability to effectively operate a phone system.
  • Demonstrates excellent documentation skills and attention to detail.
  • A professional individual with strong interpersonal and problem-solving skills.
  • Self-motivated individual who can work independently and as a team.
  • Contribute to a culture of continuous improvement by fostering a mindset of innovation, problem solving, and excellence.
  • Ability to maintain a high regard for confidentiality and advocacy for patients.
  • Proficiency in English and French is required.

Experience/Education:

  • Relevant post-secondary education or medical office admin diploma is an asset.
  • Previous experience with Electronic Medical Records (EMR) is an asset.
  • Previous related experience in a medical office environment is an asset.
  • Knowledge of Medical terminology is required.
