Title: Assistant Finance Clerk

In this role, you will:

Responsibility 1 - Data/Deposit Duties

  • Setup new donor gift batch in Philanthropy System - Unity
  • Enters batches of payment information along with donor details, paying special attention to details concerning changes to or addition of new records.
  • Follow Philanthropy Donations Handling Instructions (DHI) and Working Instructional Documents (WID) to ensure all funds are entered to the correct Appeal/Designation/Marketing Effort.
  • Create adding machine tape to balance to deposit report
  • Review batches and donor data ensuring quality of data.
  • Follows-up on outstanding records or errors
  • Once reviewed commit batch
  • Scan all batches to the Society wide directory
  • Separate cheques from donor backup.
  • Prepare and/or review bank deposit slips verifying to deposit report within department.

Responsibility 2 - Creating Importable Files for FD System - Unity

  • Creates an excel file for large imports as determined by supervisor.
  • Sort Donor interactions based on type
  • Depending on volume prepares interaction spreadsheet or enter directory to donors interaction tab following WIDs set by National Philanthropy Team

Responsibility 3 - Clerical Support

  • Maintains database and computerized or manual filing systems
  • Produces statistics and standard reports
  • Performs clerical duties to support the department
  • Responds to queries from internal and external clients, including Philanthropy Department

Responsibility 4 - Support other Red Cross initiatives, as needed, to provide for a coordinated team effort to meeting the needs of the most vulnerable in the community.

  • Integrates volunteer resources and fund development within the scope of responsibilities.
  • Participates in disaster planning, preparation and response as needed.

Responsibility 5 - Employees and Volunteers at every level are responsible for safe work practices and to adhere to practices outlined in their applicable provincial Occupational Health and Safety Act.

  • Participates and promotes completion of mandatory health and safety education/orientation.
  • Participates and promotes respectful communication between all personnel and clients to promote a healthy and safe workplace.
  • Aware of and adheres to policies and procedures related to health, safety and quality matters to ensure employee, volunteer, and client safety.
  • Ensures all near-misses and incidents are promptly and accurately reported to Supervisor or designate.
  • Ensures proper and required usage of job specific personal protective equipment (PPE).
  • Addresses concerns of PPE non-compliance with Supervisor or designate.
  • Participates in discussions regarding safety awareness during team meetings.
  • As applicable, completes safety audits and ensures that corrective action plans are completed for identified safety concerns and/or hazards.

What we are looking for:

  • Qualifications include a minimum of 1-2 years experience and a 1-2 year college diploma or post-secondary certification and/or an equivalent combination of education and experience.
  • Knowledge of and proficiency in standard computer applications (Microsoft Office Suite).
  • Basic understanding of accounting principles and financial regulations.
  • Ability to apply standard methods, and select amongst options to resolve routine problems.
  • Ability to communicate and influence by clarifying policies, processes, and services effectively.

Working Conditions:

  • The majority of the work is performed in an environment which is mostly clean and comfortable.
  • The incumbent has no direct staff supervisory responsibility.
