Position Summary
We are seeking a highly organized, proactive, and bilingual Executive Assistant to support our leadership team. This role is pivotal in ensuring smooth day-to-day operations, managing multiple priorities, and supporting the coordination of strategic initiatives.
One of the first priorities for this position will be to support the implementation of a new Customer Relationship Management (CRM) system. This includes coordinating with vendors, assisting in data migration, training staff, and ensuring the system aligns with organizational needs for stakeholder engagement and impact tracking.
Key Responsibilities
- Provide administrative support to the CEO and the Board of Directors.
- Maintain excellent file management system.
- Lead sourcing, onboarding and use of CRM.
- Support data collection by team members, and ensure reporting is seemless across programs.
- Support developing, managing and reporting on KPIs, and production of quartely and annual reports..
- Lead onboarding of new personnell, and scheduling of regular team building activities.
- Liaise with internal teams, community partners, and stakeholders.
- Maintain confidentiality and handle sensitive information with discretion.
- Support event planning and logistics for organizational initiatives.
Qualifications
- Fluency in French and English (spoken and written) is required.
- Minimum 2-3 years of experience in an executive assistant or administrative support role.
- Experience with CRM systems or digital tools for stakeholder management is a strong asset.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities. Effective in both official languages.
- Proficiency in Microsoft Office Suite, and any experience with Adobe, Canva, and Quickbooks an asset.
- Experience in a non-profit or social enterprise environment is an asset.
- Ability to work both independently and collaboratively.
