Position Summary

We are seeking a highly organized, proactive, and bilingual Executive Assistant to support our leadership team. This role is pivotal in ensuring smooth day-to-day operations, managing multiple priorities, and supporting the coordination of strategic initiatives.

One of the first priorities for this position will be to support the implementation of a new Customer Relationship Management (CRM) system. This includes coordinating with vendors, assisting in data migration, training staff, and ensuring the system aligns with organizational needs for stakeholder engagement and impact tracking.

Key Responsibilities

  • Provide high-level administrative support to the CEO/Co-Founder.
  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Prepare correspondence, reports, presentations, and meeting materials in both English and French.
  • Lead coordination and support for the implementation of a CRM system.
  • Support data collection and provide assistance for key organizational programs.
  • Manage administrative duties related to the Board of Directors, including scheduling meetings and preparing materials.
  • Liaise with internal teams, community partners, and stakeholders.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Support event planning and logistics for organizational initiatives.

Qualifications

  • Fluency in French and English (spoken and written) is required.
  • Minimum 2-3 years of experience in an executive assistant or administrative support role.
  • Experience with CRM systems or digital tools for stakeholder management is a strong asset.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite.
  • Experience in a non-profit or social enterprise environment is an asset.
  • Ability to work independently and collaboratively.
