Scope and Summary of Primary Responsibilities

Reporting to the Manager, Education & Training, the Education & Training Administrator is primarily responsible for providing essential logistical and administrative support to ensure the smooth day-to-day operation and delivery of CANS' educational programming. This includes managing registration, preparing course materials, coordinating scheduling logistics, and assisting with communication.

Accountabilities

The Education & Training Administrator provides logistical and administrative support for the successful delivery of educational programming to individuals employed in the construction industry. The ideal candidate is highly organized, detail-oriented, and thrives in a structured, task-based role within a fast-paced, deadline-sensitive environment.

Essential Duties & Responsibilities

This position entails, but is not limited to the following:

  • Perform day-to-day course-related organizational and administrative tasks to support effective program execution.
  • Serve as shared liaison with instructors and course participants, ensuring timely communication and professionalism.
  • Assist with classroom setup, scheduling logistics, and basic risk management coordination.
  • Maintain and update ClearService with accurate course and participant data.
  • Track participant attendance and maintain training records to support certification and reporting processes.
  • Prepare and distribute course materials, attendance sheets, certificates, and evaluations.
  • Respond to member inquiries about training programs and certification via email, phone, or in person
  • Support distribution and collection of surveys and assist in gathering feedback to identify training needs.
  • Serve as contact for invoicing and including registrations
  • Main contact for accounts receivable, and payable coordination, in collaboration with accounting and Education & Training Lead and Manager.
  • Support communications with trainers for logistical confirmations and material prep.
  • Assist members with Gold Seal inquiries, assessments, and the development of training plans.
  • Contribute to the organization and filing of program records and documentation, including updates to templates and promotional tools.
  • Collaborate with MarComm as directed to help implement program promotions.
  • Provide backup support to the broader Education & Training team as needed.

Relationships:

  • Works collaboratively with other departments as required, including program partners, trainers, internal/external stakeholders as determined through ongoing program development.
  • Builds relationships with board and committee members, business representatives, and other internal and external stakeholders.
  • Participates in committees and team meetings as required.

Decision Autonomy:

  • Works within CANS policies, procedures, and strategic plan, but has latitude in making decisions on routine tasks; able to identify, consider, and manage the implications of any change process as it relates to the role, including the wider impact on CANS, in discussion and with approval of the Manager, Education & Training.
  • Consults with Manager, Education & Training and/or Director, Policy & Workforce Development on issues that are more complex and require upper-level approval or guidance.

Leadership:

  • Works independently with little supervision, on a daily operational basis.
  • Takes initiative to keep abreast of issues related to the construction industry.
  • Maintains a positive attitude focused on total organizational success.
  • Is aware of and works within all brand standards.
  • Identifies and brings forward opportunities for program expansion/cross program alliances and seeks appropriate approval before commencing new initiatives.

  • Highly developed organizational and time-management skills.

  • Knowledge of basic math and accounting principles.
  • A demonstrated commitment to experiential, lifelong learning, and professional development.
  • Proven ability to deliver on projects, contracts, and desired outcomes.
  • Excellent verbal and written communication skills.

Experience and Education:

  • Bachelor of Commerce, BBA, or other business-related education/experience.
  • Experience working in a team focused environment.
  • Experience working in professional development/training (in person/virtual/blend formats) would be an asset.
  • Experience in the non-residential construction industry would be an asset.
  • Experience working with various stakeholders, including community groups, business representatives, educators and government agencies would be an asset.

Working Conditions

  • Mostly indoor office environment.
  • Lifting, pulling and pushing requirement for room configuration and set up
