Reporting to the Manager, Benefits and Pension, the Pension and Benefits Administrator is responsible for all the administration aspects of the company benefits programs, which includes being the primary contact for all benefits inquiries from employees, management, and outside benefits carriers.

Responsibilities include:

  • Ensure the administration of the company benefits programs comply in accordance with government regulations and company policy/procedures while keeping the Manager Benefits and Pension aware of any concerns or complex issues that arise.
  • Process employer statements for Disability claims.
  • Provide pension and benefits premiums collection letters to employees who are on company-approved leave of absences such as STD, WCB and personal leaves, notifying them of their options regarding collection arrangements available to them. Ensure that premiums owing to the company are collected and updated in the payroll system.
  • Notify employee and benefits carriers when an employee has reached their waiver period (ex. LTD) and make the necessary adjustments to the employee deductions or carrier invoices.
  • Responsible for administration of a Defined Benefit Pension plan, including new enrollments, terminations, leaves, and year-end reporting requirements.
  • Reconciling monthly benefits invoices and remitting the payments to the company carriers within the required vendor deadline.
  • Calculating and entering payroll corrections as needed and verifying that the corrections were completed accurately.
  • Design and maintain a personal benefit work calendar with necessary completion deadlines to ensure deadlines are met.

Professional Qualifications & Competencies:

  • College diploma in related field: Business, accounting, administration, payroll.
  • NPI Certified Payroll Compliance Practitioner (PCP) or entry level to a CEBS program (Certified Employee Benefits Specialist).
  • Minimum two to five years of related experience and/or training; or equivalent combination of education and experience.
  • Basic understanding of payroll, pension and benefits data, calculations and plan document requirements for the company benefits programs, knowledge of benefit terminology.
  • Intermediate to advanced computer knowledge in Excel, Word, and HRIS systems.
  • Ability to read and interpret documents such as union agreements, company procedure policies and Provincial Labor Standards.
  • Ability to write routine reports and correspondence. Ability to speak effectively to employees of the company.
  • Demonstrated confidentiality, tact, and diplomacy.
  • High levels of customer service.
  • Strong organizational/problem solving and time management skills.
  • Attention to detail is required, strong reconciling experience, must be able to multitask, use sound judgment when evaluating situations.
