About Our Opportunity

Under the direction of the Supervisor, Client Service, the Clerical is the first point of contact for tenants as well as the public at the site office level. The clerk also provides administrative support to employees to ensure optimal client service and the efficient running of the site office.

Responsibilities
  • Handle phone and walk-in inquiries from visitors, applicants, tenants, contractors, and staff, including responding to tenant requests for service, pest control, income review process, etc.
  • Create, process and track work and purchase orders in accordance with established policies and procedures.
  • Create tenant charge batches under the direction of the Property Manager, prepare invoices to tenants for unit damages, keys, lock changes, etc.
  • Screen applications for eligibility and provide recommendations regarding suitability of applicants and prepare new tenant lease packages, including Rent Geared to Income (RGI) calculated rent.
  • Perform rental calculations in accordance with Nova Scotia Provincial Housing Agency's policies and procedures, including Chapter 12, 13, 14 and 16 of the Public Housing Operations Manual.
  • Receive, record and monitor tenant notices to quit and vacating the tenant by ensuring all computer processes are closed.
  • Accept rental payments, process debits, forward copy of debit information for processing/posting and safeguard payments in accordance with Nova Scotia Provincial Housing Agency policies and procedures.
Qualifications
  • Successful completion of an Office Administration program, plus three years' related experience, or an equivalent combination of training and experience.
  • Applicants must demonstrate their computer skills and ability or must demonstrate competency in desktop software including Microsoft Office.
  • Excellent knowledge of office procedures and practice are required to maintain accurate and secure files, track and follow up information/report requests and manage petty cash.
  • Strong organizational and time management skills to set priorities and meet deadlines.
  • Client service oriented.
  • Good Communication skills, both verbal and written.
  • Interpersonal skills to deal with co-workers, tenants, contractors and vendors, other departments, and the public in a positive, tactful, courteous, and cooperative manner.
  • Ability to work independently with little supervision, as well as in a team environment.
  • Ability to exercise tact, discretion, sound judgement and initiative when dealing with inquiries, requests and submissions that are sensitive and confidential in nature.
  • Adaptable to change as the job requires and is receptive to new ideas and willing to try new methods and approaches.
  • Must have a valid driver's license and reliable vehicle as there will be occasional travel to our Inverness office.

Assets

  • Yardi Property Management software.
  • Possess current Emergency First Aid and WHMIS certifications.
