Who you are?

The Medical Education Administrative Coordinator is integral to the delivery of the university programs; they must maintain a thorough knowledge of the site, departmental, facility, faculty, university and national associations' policies and procedures ensuring that the accreditation requirements are met. This person will work collaboratively with all medical education staff and learners to ensure success of all programs. This may involve cross coverage with other administrative staff.

  • Post-secondary diploma or degree in Office Administration, Education, or a related field (or equivalent combination of education and experience).
  • Minimum [2–3] years of administrative experience, preferably in an academic, healthcare, or medical education setting.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and database systems.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
  • High attention to detail and accuracy in documentation and record keeping.

What will you do?

Reporting to the Medical Education Regional Manager, the Medical Education Administrative Coordinator provides comprehensive administrative and coordination support for the planning, delivery, and evaluation of medical education programs. This role is essential in ensuring that academic, operational, and logistical needs are met for faculty, residents, and students.

  • Coordinate day-to-day administrative operations of assigned medical education programs.
  • Serve as the primary contact for faculty, learners, and external partners regarding program schedules, events, and requirements.
  • Schedule and coordinate learner electives, ensuring all academic and administrative requirements are met.
  • Oversee the scheduling, allocation, and maintenance of learner accommodations, including liaising with service providers, arranging check-ins/check-outs, and addressing accommodation-related issues.
  • Plan, coordinate, and conduct learner orientations, including preparation of orientation materials, scheduling sessions, and ensuring all onboarding requirements are met.
  • Prepare and maintain program documentation, including schedules, learning objectives, and evaluations.
  • Organize meetings, seminars, workshops, and examinations, ensuring all logistics are in place.
  • Maintain databases and accurate records related to program participants, curriculum, evaluations, accommodations, and orientation attendance.
  • Assist with budget tracking, expense processing, and procurement as required.
  • Support accreditation activities, reporting, and compliance with academic and regulatory standards.
  • Provide administrative assistance to faculty and program leadership as needed.

Note: These are only the basic and prime duties of the position; related and allied duties will be assigned as necessary.
