Position Summary
We are seeking an experienced and detail-oriented Event Coordinator to lead the planning and execution of our annual conference in Toronto. This role also includes sponsor management, vendor relations, and event marketing. The ideal candidate is a strong project manager with logistical expertise, excellent communication skills, and the ability to deliver exceptional experiences for participants and partners.
KEY RESPONSIBILITIES
Conference and Event Management
- Plan, coordinate, and execute all aspects of the annual conference, including venue management, catering, audiovisual, delegate management, and speaker support.
- Oversee the scheduling, logistics, and delivery of training programs and workshops across Canada.
- Ensure smooth execution of hybrid or virtual components when required.
Sponsorship and Vendor Management
- Identify, secure, and steward event sponsors, ensuring deliverables are met and sponsor visibility is maximized.
- Manage vendor relationships, contracts, and budgets.
- Oversee vendor booth management for events MDR sponsors or participates in.
Marketing and Promotion
- Lead event marketing and advertising campaigns, including social media, newsletters, and partner outreach.
- Collaborate with the communications team on promotional strategies and content development.
- Manage branding, collateral, and advertising for MDR-sponsored events.
Operations and Evaluation
- Coordinate delegate registration systems, participant communications, and on-site logistics.
- Manage event timelines and detailed project plans.
- Develop post-event evaluation processes and provide recommendations for improvement.
Qualifications
- Post-secondary education in event management, communications, or a related field.
- Minimum of three years of experience coordinating conferences, workshops, or corporate events.
- Strong organizational skills, with the ability to manage multiple projects simultaneously.
- Proven experience managing budgets, sponsor relations, and vendor partnerships.
- Demonstrated success in event marketing, advertising, and promotional campaigns.
- Excellent communication and interpersonal skills.
- Comfort with event technology platforms, including registration systems and virtual event tools.
- Must reside in the Halifax region of Nova Scotia as a condition of employment.
- Ability and willingness to travel across Canada, and occasionally internationally, as required.
- Flexibility to work evenings and weekends during events.
