About Maple Hills:

The Maple Hills Rural Community is committed to providing responsive and transparent local governance to residents and stakeholders. We are currently seeking a motivated, organized, and community-oriented individual to fill the full-time position of Clerk for the local government.

Position Summary:

Reporting to the Chief Administrative Officer (CAO), the Clerk holds a statutory position as required under the Local Governance Act of New Brunswick. The Clerk is responsible for fulfilling all duties associated with the role, including the custody of the corporate seal and oversight of records management in accordance with the Municipal Records Management Authority Standards. This includes supporting the work of Council, maintaining public access to records, and ensuring transparency in Council decisions.

Key Responsibilities:

  • Council & Administrative Support
    • Attend all meetings of Council
    • Prepare agendas for monthly Council meetings based on documentation and activities received since the last meeting
    • Prepare minutes of public and municipal meetings for Council review and approval
    • Provide Council members with relevant information regarding meetings, activities, and municipal matters
    • Register by-laws and official documents with Service New Brunswick in accordance with regulations
    • Maintain the municipal records management system, including filing, archiving, and storage of official and permanent records
    • Assist in coordinating municipal projects and strategic initiatives, including the Strategic Plan and related studies
  • Communications & Public Engagement
    • Greet residents and respond to calls professionally, directing inquiries as appropriate
    • Develop and implement communication strategies that enhance transparency, public trust, and community engagement
    • Lead the creation and distribution of communications such as newsletters, public notices, and emergency alerts
    • Maintain and update the municipal website, social media platforms, and all communication channels
    • Respond to citizen information requests, including those under the Right to Information and Protection of Privacy Act (RTIPPA)
    • Perform other duties as assigned by the CAO

Qualifications:

  • Post-secondary education in administration, communications, business administration, or a related field. An equivalent combination of education and relevant work experience may also be considered.
  • Minimum of three (3) years of experience in the municipal field or work experience deemed equivalent.
  • Excellent written and verbal communication skills.
  • Fluency in both spoken and written French and English.
  • Good knowledge of municipal operations and governance
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite, eScribe, and Adobe products.
  • Must possess a valid driver's license and have access to reliable transportation for travel to various work locations.

Hours of work

Regular working hours are 8:00 a.m. - 4:00 p.m., Monday through Friday (or as stipulated in applicable policy). However, the work requires attendance at numerous meetings and activities held outside of regular hours.
