Location(s): Regional Headquarters, Colchester East-Hants Public Library 754 Prince Street, Truro Nova Scotia

Status: Contract - 2 years (with a 6-month probation period)

Salary: LA2 $25.55/hr (Step 1 on a five-step scale), healthcare after probation.

Work Schedule: Monday to Friday 9am-5pm, with a one (1) hour break for lunch. Attendance to bimonthly evening Board Meetings is required.

JOB SUMMARY:

Under the supervision of the Executive Director, the Finance Administrator is responsible for financial and office administration, including: provides bookkeeping and accounting services; reviews and recommends acceptable financial practices and procedures; administers banking and financial services and prepares financial statements; purchases office and cleaning supplies, as well as other equipment and furnishings, and maintains inventory; serves as back-up to the Human Resources Administrator with payroll and human resource systems; performs other general office duties as part of the regional administrative team.

DUTIES:

· Process accounts payable, accounts receivable, and revenue data; maintain data input and output control.

· Assist the Executive Director and regional management team with the preparation and monitoring of budgets for multiple accounts (approx. combined value of $2.2 million per annum).

· Prepare monthly bank reconciliations for two operating accounts and approx. 20 reserve accounts. Responsible for all general ledger adjustments and entries.

· Prepare bimonthly financial reports and due diligence statements for the Library Board.

· Communicate closely throughout the year, and particularly during year end, with the Library's independent auditors. Provide accurate and timely financial information and records to the auditors during auditing process.

· Maintain building and vehicle insurance policies; troubleshoot insurance claims and questions.

· Assist the Executive Director and regional management team with preparing tenders for professional services; grant applications; and managing of service/lease agreements.

· Monitor and manage office supplies inventory for the region. Assist with equipment and furnishing ordering.

· Respond to telephone calls and general inquiries as needed.

· Backup, and assist when required, the Human Resources Administrator with the bi-weekly payroll for approx. 50 staff, using an automated payroll management system.

· Perform other related duties as required or assigned.

REQUIRED QUALIFICATIONS:

· Grade 12 and successful completion of Business/Office Management program or equivalent.

· 5+ years' experience as Accounts Administrator/Bookkeeper.

· Work-related experience of regular payroll and accounting functions in a computerized accounting operation.

· Experience using SAGE accounting.

· Experience using Microsoft Office suite, with above average knowledge of Excel.

· Satisfactory Criminal Record Check, Vulnerable Sector's Check.

· Excellent attention to detail, and strong organizational and analytical skills.

· Ability to adapt to changing needs and procedures as required.

· Ability to work independently with little supervision, and consistently meet deadlines.

· Ability to input and retrieve data electronically.

· Ability to maintain accurate bookkeeping records. Ability to exercise tact and maintain confidentiality of work information.
