THE POSITION:
Events East Group is now inviting applications for the position of Board & Governance Liaison with our Corporate Services team.
The Board & Governance Liaison plays a critical administrative and coordination role to support senior executives, and ensure effective operations of the Board of Directors. They foster professional, high-trust relationships with the organization's critical stakeholders, including Board members, government officials, industry leaders, and corporate partners.
As a key contributor to the organization's governance structure and legislative compliance, the Liaison ensures strong communication and collaboration between the Board, the CEO, and Events East's Executive Team. While primarily focused on governance guidance and coordination for the Board and its Committees, this role also contributes administrative support to corporate initiatives and key relationships that advance the organization's strategic priorities.
This position requires professionalism, sound judgment, a proactive mindset, and exceptional administrative and communication skills to build trust with senior leaders, public officials, and partners. It reports to the Director of Strategy, and offers a unique opportunity to work at the intersection of governance, public accountability, and strategic impact.
THE DUTIES AND RESPONSIBILITIES:
BOARD OF DIRECTORS ADMINISTRATION & SUPPORT:
- Establish and nurture high-trust relationships with the Board Chair and Events East executive demonstrate a high level of discretion, accountability and confidentiality.
- Coordinate, plan and administer Board and Committee meetings, including: scheduling, correspondence, preparing and distributing agendas and briefings, coordinating pre-meeting materials, maintaining meeting minutes, and coordinating meeting logistics (e.g. a/v, refreshments, parking, etc.).
- Maintain a record of all Board matters, in compliance with legislative requirements and public sector standards.
- Ensure annual workplans for the Board and Committees are established, tracked and implemented.
- Support the Board education program aligned with public sector governance and best practices.
- Ensure compliance with legislation, bylaws, shareholder policy directives and other public accountability requirements.
- Attend all Board and Committee meetings and take responsibility for all associated coordination, and on-site support of Board members and executive team as required.
- Coordinate and maintain the Board's governance structure, including annual evaluations, governance manual, Committee structure and Board policies.
- Coordinate and administer all new Board member orientation and onboarding requirements.
SHAREHOLDER RELATIONS & SUPPORT:
- Support the delivery of the organization's shareholder relations framework, including coordination and planning of shareholder meetings (e.g. scheduling and attendance management, preparation and distribution of agendas, formatting and distribution of pre-meeting materials, record keeping, and coordination of meeting logistics).
- Attend Shareholder representative meetings and maintain minutes and all necessary correspondence and follow up.
- Support the successful completion and submission of annual business plans, annual performance reports, long-term strategic plans, and other accountability reports and disclosures as required.
EXECUTIVE & GOVERNANCE ADMINISTRATION:
- As required, on behalf of the President's Office, liaise with key partners, industry and community stakeholders to help nurture positive and trustworthy relationships.
- Maintain key points of contact within municipal government, provincial government, and key stakeholder organizations.
- Coordinate and manage the hosting program on behalf of the President's Office, including stakeholder invitations and correspondence.
- Contribute to the effective administration and implementation of corporate impact initiatives, including but not limited to sponsorships, strategic event partnerships, and the charitable ticketing program, specifically by supporting tracking, scheduling, guest lists, and correspondence.
- Maintain a reliable database of key stakeholders and partners.
- Provide administrative support to enable the tracking and communication of corporate performance metrics.
- Other administrative duties as required to support the Executive Team, which may include special projects from time-to-time.

THE PROFESSIONAL REQUIREMENTS:
3-5 years of professional experience in progressively responsible administrative roles, with a demonstrated commitment to high-quality service.
Post-secondary degree and/or certificate in governance, business administration, public administration, or a related field, or an equivalent combination of experience and training.
Proven experience supporting and liaising with C-suite executives, preferably in a complex or multi-stakeholder environment.
Exceptional interpersonal and communication skills, with the ability to build trust and maintain effective relationships with senior leaders, board members, public officials, and key partners.
- Strong judgment and decision-making ability; able to work independently and take initiative when navigating competing demands.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines without losing track of details.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Proven ability to handle sensitive or confidential information with discretion, and to respond with professionalism under pressure.
- Genuine interest in governance, public accountability, and the behind-the-scenes work that helps organizations run effectively.
