The Secretary I will be an integral part of the Learning, Support & Development team, providing high-level administrative support to ensure the smooth operation of the Leadership Development program. This position is responsible for maintaining organizational standards and supporting the day-to-day activities of the team, ensuring a professional and effective learning environment for all employees at NLHS. The role will require strong organizational, communication, and multitasking skills. The successful applicant will report into the Provincial Manager of Learning.
Qualifications:
- Graduation from high school and successful completion of a 2-year Office Administration Diploma.
- Minimum of two years of related work experience.
- Strong organizational skills with the ability to manage multiple priorities and tasks efficiently.
- Excellent written and verbal communication skills, with an ability to engage effectively with diverse stakeholders.
- High attention to detail and accuracy in all aspects of work.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with scheduling tools.
- Experience in the use of Audio/Visual and Multimedia equipment.
- Ability to work independently and as part of a team, with a proactive and flexible approach to tasks.
- Ability to maintain confidentiality and manage sensitive information with professionalism and discretion.
- A positive, solution-oriented attitude with a focus on continuous improvement.
- The successful candidate will be required to submit a satisfactory Certificate of Conduct.
Duties: (Included but not limited to)
- Administrative Support for Leadership Development: Provide day-to-day administrative assistance to the Leadership Development program, including scheduling, communication, and preparation of materials for training sessions, workshops, and meetings.
- Coordination & Organization: Manage and organize meetings, workshops, and events related to the Leadership Development program. This includes handling logistics, arranging venues (virtual or in-person), and ensuring all materials are prepared in advance.
- Document Management: Maintain accurate records and files related to program activities, including tracking attendance, managing participant data, and ensuring compliance with organizational policies.
- Communication & Liaison: Serve as a key point of contact for employees and stakeholders involved in the Leadership Development program. Facilitate effective communication within the team, ensuring that information is conveyed clearly and promptly.
- Support to the Learning, Support & Development Team: Assist with general administrative tasks for the Learning team, such as document preparation, filing, maintaining schedules, and coordinating team meetings.
- Professional Standards: Uphold high standards of professionalism in all interactions and activities, ensuring confidentiality, accuracy, and compliance with organizational policies and procedures.
