What you will be doing…
As a member of the School of Access, Education and Language reporting to the Academic Chair managing the Adult Learning Program (ALP) for the Institute of Technology Campus you will:
- Provide a full range of administrative support services to the ALP Counsellor
- Be responsible for digital record keeping and file management, inputting and retrieving data, running reports, managing and updating student records
- Be responsible for individual course maps tracking the credits and current enrolments of hundreds of ALP students
- Support applicants and respond to their enquiries while liaising with Admissions and the ALP CounsellorsProvide the following support services:
- Identify applicants and incomplete applications for entry into the Adult Learning Program
- Prepare the course map needed for the intake assessment process
- Maintain student course maps tracking their credits and enrolment
- Maintain systems supporting graduate planning and tracking
- Support transcript review at the direction of the ALP Counsellors
- Support systems tracking students' completion of intake forms for funders
- Make and field telephone, Teams, and email enquiries about ALP
Qualifications and Occupational Experience:
- The minimum educational qualification for this position is a post-secondary certificate or diploma in Business or Office Administration. High school completion with significant years of administrative experience (10+) will also be considered.
- You have a minimum of two years' (full-time equivalent) recent and related occupational experience in a fast-paced office environment.
- You have occupational experience that includes digital records management.
- You are familiar with and comfortable using computer applications such as the Microsoft Office Suite including Microsoft Teams, SharePoint, Excel and email.
- Knowledge of running reports from enterprise systems like PeopleSoft would be considered an asset.
- You are comfortable working in a digital environment; you take responsibility for acquiring knowledge about advancing technology; and you are committed to using technology in advancing your work.
- Occupational experience supporting/providing service to students and prospective students in a post-secondary educational environment would be considered an asset.

- You have proven records and information management skills and abilities specifically related to student records management including transcript and tracking graduation pathways.
