OFFICE OF THE REGISTRAR (Saint John)

The Office of the Registrar provides administrative and coordination services in support of the UNB learning community. Services that we provide to students, faculty and staff include admission, academic advising (Saint John), timetabling and course set up, academic room assignment, final examinations, coordination of graduations, regulation and policy advice, as well as reporting and information requests.

Standard Work Hours: Mon - Fri | 8:15 am - 4:30 pm | 36.25 hours per week

Salary Range: $22.75 - $28.42 per hour

YOUR FOCUS

Reporting to Associate Registrar, the Student Response Assistant provides first line of support to inquiries from students, faculty and staff.

  • Provide in-person, phone, and email support to students, faculty, and staff by resolving or redirecting inquiries related to UNB regulations, records, admissions, student accounts, and receipting.
  • Maintain thorough knowledge of UNB academic regulations, procedures, and program offerings, including non-credit and Saint John campus-specific messaging.
  • Advise students and stakeholders on academic and financial policies, including general university practices and program-specific information.
  • Build and sustain positive working relationships with units across UNB and the Saint John campus.
  • Assess, calculate, receive, and receipt payments; prepare cash floats and perform daily opening, closing, and deposit summary duties.
  • Prepare and release transcripts, enrolment confirmations, tax receipts, letters of permission, academic standing updates, and related documentation.
  • Update and maintain student registration, program designations, and academic notations.
  • Advise or redirect inquiries about parking passes and student health insurance; receive and process related documentation.
  • Review daily systems reports to identify and resolve errors based on academic and administrative context.
  • Receive and process grade verification and notations; enter grade adjustments as required.
  • Advise students on exam deferrals; assess and prepare deferral documentation as appropriate.
  • Coordinate activation and scheduling of academic and non-credit courses.
  • Update curriculum details in the system based on Senate-approved changes.
  • Assign classrooms for term-based academic and non-credit offerings.
  • Support annual and term-based Registrar projects, including orientation, exams, graduation, registration, and committee work.
  • Perform other duties as assigned within the Office of the Registrar.

WHAT YOU BRING

  • Post-secondary education in a related field.
  • 3 years of customer service experience.
  • Previous experience in a university or similar institutional setting.
  • An equivalent combination of education and experience may be considered.

Additional Strengths

  • Bachelor's degree considered an asset.
  • Proficient with Microsoft Office Suite and database systems.
  • Strong reading comprehension, writing, and communication skills.
  • Demonstrate a high degree of confidentiality, sensitivity, and professionalism.
