Position: International Student Registrar - 2 positions - 1.0 FTE (36.25 hrs/wk)

The International Student Registrar, reporting to the EAL Subject Coordinator supports the registration, transition and welcoming of newcomer and international students in 70 ASD-W schools. This includes responsibility for communication with families before and during registration, data analysis, management & reporting, invoicing of international students, keeping current on immigration regulations and trends federally, provincially and within Anglophone School District West through participation on committees and working groups at each of these levels.

Responsibilities include, but are not limited to:

  • Lead and develop a communication plan for prospective families.
  • Verify applications of prospective students based on EECD admission standards and IRCC immigration policies.
  • Coordinate the systematic and efficient handling of applications and communications with parents of student applicants as well as school administrators and administrative staff
  • Process, organize, manage, and oversee the input of registration information into PowerSchool and other record systems.
  • Conduct virtual or in-person meetings with parents to finalize the registration process.
  • Administer intake language assessments and collaborate with schools to ensure placement is in accordance with district and provincial policies.
  • Adhere to Guidelines for the Care of New Brunswick Student Records when handling highly sensitive documents and communicate sensitive disclosures to school- based Education Support Services professionals when needed
  • Maintain databases (Collect, input, interpret, analyze and summarize data to prepare and present reports)
  • Use data to forecast enrollment trends in order to hire, train and schedule casual support staff.
  • Invoice and track payments for fee paying students
  • Prepare materials including correspondence, PowerPoint presentations, reports and budgets using a variety of computer programs
  • Oversee and participate in the development of admissions materials pertaining to school policy and practice to share with newcomer families, schools, and the wider community.
  • Plan and assist in organizing community awareness events as required.
  • Meet with visitors on exploratory visits to New Brunswick
  • Liaise with settlement agencies and ethnocultural groups within ASD-W
  • Perform jurisdictional scans and align process with best practices.
  • Supervise and guide the day-to-day tasks of the IWC administrative assistant and various casual employees hired to support
  • Participate in EECD and ASDW meetings as required.

Qualifications and Experience:

  • Knowledge of K-12 education system in New Brunswick with the ability to interpret policies and departmental procedures to problem-solve and provide advisory and support services related to the enrollment of international students.
  • Strong interpersonal skills, including professional communication via email and phone.
  • Experience in working with people from diverse cultural and language backgrounds.
  • Demonstrated ability to work well under pressure and deal courteously with newcomer families, settlement agencies, school administrators and staff.
  • Project management skills, including the ability to plan, organize, and prioritize tasks while meeting deadlines and maintaining accuracy and attention to detail.
  • Ability to collect, create and maintain detailed records.
  • Experience delegating and assigning tasks appropriately to support staff.
  • Ability to work independently and as part of a team, as well as with minimum direction
  • Skills in performing technical, specialized, complex and difficult office administrative work requiring use of independent judgment
  • High level of computer literacy, including Microsoft office and database applications, as well as PowerBi, PowerAutomate, and Adobe DX
  • Knowledge and understanding of Immigration and Refugee Canada Rules and regulations as well as the Education Act and ASD-W specific protocol

Qualifications: Work at this level requires competence normally gained through the equivalent of a University Degree in a related field of study: Organizational Management, English Additional Language, International Studies and four (4) more years of related experience.

Salary: In accordance with the Public Service Alliance of Canada Union (PSAC), School Business Office 3 based on a minimum of 36.25 hrs/wk.
