Position description

The Alumni Engagement Officer - Volunteers and Communications (AEO-VC) is a key member of the University Advancement team, responsible for the strategic coordination of alumni volunteer engagement and communication initiatives. The AEO-VC plays a leadership role in fostering meaningful connections between alumni and the University, ensuring effective and inspiring outreach through traditional and digital channels.

This role includes overseeing the lifecycle of alumni volunteers, managing alumni-facing communications, and maintaining the integrity of alumni data. The incumbent will also leverage current digital tools, including social media, content management systems, CRM platforms, and AI-assisted tools to enhance the efficiency, reach, and personalization of communications.

Key Responsibilities

Communications

  • Plan, create, and deliver high-impact communications to engage alumni across platforms including email, print, social media, website, and event platforms.
  • Draft and coordinate newsletters, digital campaigns, and alumni spotlights using tools like Canva, Hootsuite, and AI-supported content generators
  • Collaborate with the Marketing and Communications team to ensure alignment with institutional branding and messaging.
  • Manage and maintain alumni-related web content, including regular updates to event pages, success stories, and photo galleries.
  • Monitor and report on engagement metrics to improve communications effectiveness.
  • Ensure timely and accurate data collection to support relationship-building efforts.

Volunteer Management

  • Lead the administration of volunteer programs, including recruitment, onboarding, engagement, recognition, and stewardship of alumni volunteers.
  • Support and track volunteer involvement using CRM systems, integrating data with moves management strategies.
  • Provide training and resources for volunteers, incorporating virtual tools for remote or hybrid engagement.
  • Serve as liaison to the Mount Allison Alumni Association Board, coordinating meetings, preparing materials, and managing communications with Board members and sub-committees.
  • Represent the Alumni engagement Office at events as required, including evenings and weekends.
  • Collaborate with multiple university departments on projects and initiatives such as the Refer a Student Program, Student Mentorship and Homecoming weekend.

Qualifications/skills

  • Bachelor's degree required; degrees in communications, public relations, marketing, journalism, English, writing, media studies, or related fields are considered assets.
  • A background in liberal arts with strong writing and organizational skills will also be considered.
  • Minimum five years of experience in engagement, volunteer coordination, communications, or a related field.
  • Demonstrated experience with volunteer management and communications.
  • Strong writing, editing, and digital storytelling skills, with a clear, engaging, and professional tone.
  • Proficiency in digital platforms: Microsoft Office Suite, social media management tools, Canva or Adobe Creative Suite, Eventbrite, and CRM/email systems
  • Experience using AI tools for content planning, and workflow optimization 9e/g. Asana) considered a strong asset.
  • Strong interpersonal skills with the ability to work collaboratively across departments and with diverse alumni populations.
  • Exceptional organizational and project management skills, with the ability to manage competing priorities.
  • Flexible schedule with availability for evening and weekend events.
  • Valid Class 5 Driver's License required.
