We are looking for a Facilities Administrator to support our expanding operation, which delivers exemplary, well-coordinated primary health care at the right place, from the right provider, and at the right time.

The facilities administrator will report to the Vice President of Quality, Patient Safety, and Education and will work closely with the Facilities Manager to support the administration of facilities services. The primary responsibility will be to maintain the facility work order system, dispatch service requests, and follow up on all requests to ensure they are resolved.

In this role, you will be responsible for:

  • Manage the facility's daily maintenance through work orders, shoreline tracking, and station audit forms, and facilitate service requests to vendors or landlords.
  • Ensure scheduled work is completed in an acceptable and timely manner.
  • In partnership with the facilities manager, administer the cleaning, landscaping, and snow removal contracts for all specified locations.
  • Source and oversee vendors, ensuring adherence to contract terms.
  • Manage DH facility inspection reports and provide monthly reporting requirements.
  • Oversee the security monitoring system, including addressing emails related to access.
  • Provide support to the Facilities Manager during the Request for Proposal process.
  • Act as a liaison on facilities issues with our various stakeholders.
  • Be willing to perform other duties as assigned.

As the ideal candidate for this role, you:

  • Possess a post-secondary education in business or a related field or have equivalent experience.
  • Have at least two years of relevant experience in an office environment.
  • Possess solid knowledge of computer programs, particularly MS Office.
  • Demonstrate strong interpersonal skills, including the ability to handle difficult situations diplomatically.
  • Exhibit the ability to work and multitask in a fast-paced, deadline-driven environment.
  • Have excellent communication skills and be an effective negotiator.
  • Display good decision-making and problem-solving skills.
  • Manage time efficiently and effectively.
  • Coordinate, organize, and design data collection for reporting purposes.

Bilingualism would be an asset for this position. Travel may be required throughout the province, and a valid driver's license will be required.
