NB Health Link (NBHL) leverages technological solutions and innovative clinical delivery models to provide access to care for New Brunswickers who don't have a family doctor or nurse practitioner. The program provides patients who are registered with the program access to a network of family doctors, physician assistants and nurse practitioners throughout the province - offering in-person, telephone and online appointments in both official languages.

JOB SUMMARY

The Scheduler plays a vital role in the NB Health Link (NBHL) program, managing both Medicare billing and healthcare provider scheduling. This role ensures providers are supported in their financial operations and schedules are optimized to meet program demands.

As employees of EM/ANB Inc., Schedulers are responsible to patients, families, and colleagues by participating in and supporting safety-related initiatives and fostering a culture of learning. The priority remains the safety of patients, caregivers, and the workplace.

KEY RESPONSIBILITIES

  • Collaborate with healthcare providers and administrative staff to gather necessary documentation for accurate billing.
  • Handle Medicare billing processes, adhere to claim submission deadlines, track payments, address billing discrepancies and follow-up on claims to ensure timely reimbursement.
  • Answer questions from providers regarding scheduling and billing policies.
  • Develop, monitor, and maintain numerous NBHL schedules.
  • Communicate effectively with primary care providers and their teams to establish short-term and long-term schedules (e.g., email reminders, schedule updates).
  • Communicate last-minute scheduling changes to primary care providers and all team members.
  • Offer feedback on areas of improvement and suggestions regarding schedules when appropriate.
  • Monitor progress against daily, weekly, and monthly schedules and actively resolve scheduling conflicts.
  • Ensure schedules are maintained according to NBHL operational standards.
  • Run and manage scheduling audits.
  • Work collaboratively with managers on scheduling issues.
  • Respond to correspondence.
  • Create, edit, and format documents such as letters, reports, memos, and other outgoing documentation.
  • Maintain a positive working relationship with the NBHL interdisciplinary team.

REQUIRED QUALIFICATIONS AND OTHER JOB REQUIREMENTS:

  • Post-secondary education in office administration or an equivalent combination of experience and education.
  • At least three years' related experience working in an office environment, preferably in a health care setting, including a minimum of two years' experience in Medicare billing.
  • Proficiency in Microsoft Office Suite, internet applications, and scheduling / Medicare software.
  • Strong organizational abilities with the capacity to prioritize tasks in a fast-paced environment.
  • Self-motivated and able to work independently as well as part of a team.
  • Excellent oral and written communication skills.
  • Comfortable working with tight schedules and demanding turnaround times.
