Our financial services firm is dynamic and growing. We have an immediate need for a Manager, Client Services to join our team in Halifax, NS.

The Role:

The Manager, Client Services is responsible for providing dedicated business support to the firm's financial advisors and their teams. This includes providing new business, insurance case management, and ongoing in-force support for insurance and investment clients.

Your focus would be on new and in-force insurance and investments, however, you would be well versed to take on any role in the client service department, as needed.

What would my days look like?

Insurance & Investment Management:

Administrative assistance to Bloom advisors in sales preparation, ongoing service, and client maintenance.

  • For investments: processing new accounts and trades; maintaining proper paperwork on each transaction (mutual funds and segregated funds)
  • For insurance: following all new and in-force business
  • Timely communication between the advisor, insurance carrier and others to ensure client needs are met on a timely basis throughout the in-force and application process.
  • Ensure compliance procedures are enforced and consistently maintained for all insurance and investment business
  • Document scanning of applications, policies, delivery requirements in-force, investments and contracting
  • Organize and file advisor information including policies, mail and transaction confirmations at high volumes
  • Dealing with service providers to ensure client needs are met with the highest level of client satisfaction
  • Work extensively with financial back-office system, WealthServ, MGA's, DocuSign, Salesforce as well as all insurance carrier websites
  • Meticulously maintain electronic records, notes and files in CRM, as well as ensuring timely follow-ups
  • Obtain in-force illustrations as required
  • Confirm client annual premiums have been paid
  • Coordinate between client, lender and insurance company for funding as required
  • Ongoing coordination of in-force lending agreements as required

General Office:

  • Manage internal CRM system
  • Answer phones during business hours and assist clients with requests or pass messages to advisors for product-related or investment portfolio questions
  • Assist in office-related tasks such as ordering supplies, filing, dealing with suppliers, marketing support when needed, etc.
  • Some office compliance management
  • Some business and licensing registrations
  • Attend provider seminars as required
  • Maximize office efficiency
  • Take on special projects, as required by the management team
  • Maintain all mandatory CE requirements for your licensing

Requirements:

  • Proven comprehensive experience in insurance and investment administration
  • Hold a current Life, Accident & Sickness license (not required but an asset)
  • Mutual fund licensed (experience as licensed mutual fund assistant)
  • Experience with CI Assante Wealth Management an asset
  • Business Administration Degree/Diploma or equivalent
  • Attention to detail and highly organized
  • You own problems through to resolution; demonstrate the ability to make sound and timely decisions, and apply analytic/systematic reasoning to positively impact results, organizational performance, and the customer experience
  • Knowledge of office management systems and procedures
  • Ability to design, implement & maintain processes for office efficiency
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Excellent time management skills and the ability to prioritize work in a high-volume environment
  • Excellent written and verbal communication skills
  • You do what is right and work with the highest level of integrity

Salary & Benefits:

  • We pride ourselves on providing an exceptional salary and benefits package for an exceptional team member.
  • Full-time: Monday - Friday (40 hours per week)
  • Location: Quinpool Rd. area (in-person)
  • Salary Range ($85K) plus benefits (100% covered minus LTD) Cell Phone, and options for bonusing up to 5% of salary
  • Vacation 4-5 weeks per year
