Castle Hall is an entrepreneurial, dynamic and fast moving company that is looking to add a Client Support Specialist to our Halifax team. This role responds to increasing demand for Castle Hall's services, and the firm's commitment to continued growth.

Position Overview

We're looking for a Client Support Specialist to join our Halifax team. You'll be a key point of contact for our clients - managing inquiries, coordinating deliverables, and ensuring a seamless experience from onboarding through ongoing service. This role sits at the intersection of client relationships and operations, giving you direct exposure to the world of alternative investments and institutional due diligence.

RESPONSIBILITIES

Serve as a primary contact for client inquiries, delivering responsive and professional support

Coordinate resource allocation and track completion of client requests

Process orders accurately in our proprietary ERP system and maintain up-to-date records in our CRM (HubSpot)

Monitor our client-facing portal to ensure timely delivery of reports and completed work

Support new client onboarding and build strong, lasting relationships across the client base

Collaborate closely with operations to meet production deadlines

Demo platform functionality to clients and provide real-time support via live chat

Contribute to reporting for senior management with key insights and analysis

As the team grows, help train and mentor new team members

DESIRED SKILLS AND EXPERIENCE

A degree or diploma in Finance, Business Administration, Communications, or a related field (or equivalent experience)

Strong organizational skills with sharp attention to detail

Proficiency with MS Office Suite, particularly Excel

Excellent written and verbal communication skills

A solutions-oriented mindset - you see problems as puzzles to solve

Ability to manage competing priorities in a fast-paced environment

A collaborative, team-first attitude

Financial industry knowledge is a plus

Experience with HubSpot and/or SharePoint is a plus
