The School of Graduate Studies (SGS) provides administrative and operational oversight for all graduate programs at UNB, which includes currently more than 2,000 students in more than 60 different programs in 13 Faculties across the Fredericton and Saint John campuses. The SGS manages major program details for this cohort of graduate students from the time of application and admission to UNB through to degree completion.

YOUR FOCUS

Reporting to the Operations Coordinator in the School of Graduate Studies the Graduate Program Officer (GPO) provides expertise in the selection of applicants for admission to graduate programs. The position also oversees applications though the admissions process, analyzing qualifications in the context of graduate level admission standards, implementing admission decisions, and managing all admission related communication. The GPO is the primary resource internally (members of the University's graduate community) and externally (applicants) for those seeking admissions support.

  • Act as a point of contact and maintain communication for the School of Graduate Studies for students, faculty members and departments.
  • Maintain an in-depth knowledge of the School of Graduate Studies guidelines, regulations, poilcies and admissions.
  • Provide advice and training for faculty/departmental administrators and Directors of Graduate Studies regarding graduate school rules and regulations, and use of enterprise software systems.
  • Record and manage correspondence of admission process and admission decisions.
  • Authenticate official documents according to established admission processes and procedures including transcripts, test scores, and proof of English language proficiency.
  • Read, interpret and evaluate students' academic credentials and has make admissions/denial decisions in accordance with Dean approved admissions policies, and approve recommendations made by Faculty and Deans.
  • Undertake data gathering and entry to aid faculty members in establishing new admissions requirements or implementing changes to the admissions process.
  • Maintain records tracking students' academic progress, including approved program changes, course/ credit transfers, changes of student status and directed studies/ independent study courses.
  • Assist Deans and Operations Coordinator on special projects when required and assists in other areas of the School of Graduate Studies as assigned.

WHAT YOU BRING

  • Post-Secondary in a related field. A combination of education and experience may also be considered.
  • 2-3 years related experience in a University or Academic environment, or administrative and customer service oriented environment.

Additional Strengths:

  • Knowledge of admission terminology and experience working with university students in a service-oriented environment considered an asset.
  • Demonstrated ability to operate a variety of software, comprehensive knowledge of MS Office, experience with Colleague UI, CRM Recruit or other database management systems is an asset.
  • Experience working in a confidential setting and demonstrate good judgment in dealing with sensitive or problem situations.
  • Superior professional written and verbal communication, critical thinking, and problem-solving skills.
  • Ability to engage respectfully with students of various cultures, genders and abilities.
  • Able to work individually or as a team.
