Reporting to the SVP of People & Culture, with functional direction from the People & Culture Leadership Team, the Human Resources (HR) Associate provides a high quality of communication and organizational support to the entire People & Culture business unit on a daily basis. The HR Associate functions as the primary point of contact for internal and external clients, both in person and on the phone, to the People & Culture office. The HR Associate is responsible for interacting in a professional, courteous, and helpful manner with all individuals seeking HR help. Responsibilities include, but are not limited to, responding to all general incoming inquiries, organizing, and maintaining employee files, updating selected databases, coordinating bookings, and completing HR reporting. The HR Associate maintains a high degree of confidentiality, manages own work efficiently and effectively, accepts accountability for own actions and demonstrates flexibility in meeting the needs of the team.
Essential Responsibilities:
- Responds appropriately and timely to all inquiries to the People & Culture department and ensures all matters are answered or routed to the appropriate person. This includes responding to inquiries and requests from employees, managers and the general public. Responding to such matters requires a general knowledge of NSLC and HR specific policies and procedures, including recruitment practices, collective agreement language, payroll and benefits practices, etc. Some level of consultation and/or investigation is required to address these inquiries, complaints or concerns.
- Maintains employee files and the HR filing system.
- Provides timely and efficient administrative and operational support for the People & Culture office. Including but not limited to administrative support, ad hoc requests from HR Business Partners and HR systems administrative support.
- Schedules room bookings and A/V equipment for the department on an ad-hoc basis.
- Processes internal/external incoming and outgoing mail.
- Manages general office operations such as supplies management and equipment maintenance.
- Attends People & Culture team meetings and produces accurate minutes.
- Maintains HR Swizzle site
- Schedules, coordinates, participates, produces minutes, room/equipment booking, and follows-up for recurring or ad-hoc meetings.
Secondary Responsibilities:
- Administrative support for ad hoc requests within the People & Culture portfolio
- Ad hoc operational support as needed (eg. IT support for printer issues etc.)
- In conjunction with appropriate HR team, supports ad hoc reporting requests from NSLC leadership
- Takes appropriate measures toward process improvements (improvements of processes and functions of the People & Culture office).
As a qualified candidate, you will have:
- Bachelor's degree with concentration in Human Resources or Bachelor's Degree and a certificate in Human Resources Management, or an equivalent combination of Business or Office Administration education and Human Resources experience may be considered
- 1-2 years direct Human Resource experience.
As the ideal candidate, you will also have:
- Experience with SAP and Success Factors
- CPHR designation preferred
