Reporting to the Manager of Finance and Administration, the Administration and First Impressions Coordinator provides administrative support all areas of the ASNB, as well as ensuring that each and every touchpoint with clients and stakeholders is person-centred and brings our vision and values to life. The successful candidate will have a warm, welcoming demeanor, and will work collaboratively as a core members of the ASNB team.

The ideal candidate will enthusiastically support the vision and mission of ASNB and possess the personal qualities of integrity and credibility. They will have the proven ability to work within teams to accomplish multiple tasks and keep multiple projects organized and progressing. They will also be bilingual, and be committed to assisting the organization to provide quality experiences at every touchpoint.

Responsibilities
  • Responsible for the administrative support of the ASNB including managing telephone communications in a professional and person-centred way, supporting the Finance and Administration Manager with administrative and HR functions, and supporting the ASNB Board with related administrative tasks.
  • Coordinate meetings and logistics for committees, working groups, and where appropriate ASNB programs
  • Attend meetings when requested, and record and distribute minutes / meeting summary
  • Assist with the transition and implementation of a new CRM program
  • Maintain the CRM and referral sources database, ensuring recordkeeping is complete, objective and up to date. Collect statistics, prepare reports and participate in the First Link evaluation process
  • Assist with the coordination of the processing of First Link® referrals to the appropriate Alzheimer Society Resource Center for initial intake to ensure those diagnosed with dementia and their caregivers are provided with timely and appropriate information and referral to education and support services
  • Support First Link Coordinators with the expansion of programs and services where necessary
  • Complete the administrative tasks to ensure families receive information and referral sources are communicated with
  • Maintain educational materials, and order and distribute as required
  • Ensure background checks of all staff and volunteers are completed and up to date. Maintain these records with respect to confidentiality.
  • Assist in administrative duties or responsibilities that may be necessary in the overall plan of ASNB
  • Travel as required
Qualifications
  • Must be bilingual in French and English
  • Experience working with Not for Profit organization an asset
  • Takes a highly collaborative approach to work, and is very motivated
  • Sensitive to the impact of Alzheimer's disease on the individual and the family
  • Experience with bookkeeping is a strong asset
  • Experience in HR is a strong asset
  • Must embody the vision and values of the ASNB
  • Must be approachable, have solid communication skills and a warm positive attitude with active listening skills
  • Exceptional customer service skills, over the phone and in person, with our clients and internal team
  • Strong sense of urgency and problem solving skills
  • Able to work as part of a team
  • Able to work independently
  • Capable of handling a diverse workload and balancing multiple demands with superb accuracy
  • Excellent computer skills with knowledge of managing IT issues and a CRM database
  • Established organizational and administrative skills
  • Possess a valid NB driver's license and be available to travel
  • Ability to work outside regularly scheduled hours
