About the Role

Reporting to the Director of People & Culture, the Office Assistant will be the first face and voice of Longboard for the guests, clients, and visitors who come through our doors. This role is at the heart of bringing our commitment to radical client care to life: welcoming every guest, helping host our events, and making sure our office is ready for great conversations each and every day.

This is a hands-on, on-your-feet role for someone who loves taking care of people. A large part of your day will be spent hosting and caring for our guests, along with time at our reception desk and moving around the office to keep our spaces and supplies ready. As this is a new role, it will continue to evolve as our needs grow, and no two days will look exactly the same. If you are looking for a primarily desk-based administrative role, this may not be the right fit.

What You Will Do

Hospitality & Events

  • Support the Community & Events Specialist with guest visits, meetings, and company events, including setup, refreshments, catering, and cleanup.
  • Coordinate guest tours, travel arrangements, and event supplies while helping bring company celebrations and traditions to life.
  • Anticipate guest needs and add thoughtful touches to create welcoming and memorable experiences.

Reception & Front Desk

  • Welcome and register visitors, assist with their needs, and maintain an inviting reception area.
  • Answer and direct incoming calls and assist walk-in clients with material sample requests.

Office Readiness, Supplies & Mail

  • Keep meeting rooms and shared spaces clean, organized, stocked, and ready for use.
  • Manage office and kitchen supplies, mail, packages, and shipping.
  • Report facility and technology issues and coordinate repairs and maintenance as needed.
  • Support Marketing with swag and sample orders, coordinate charitable bottle collection pickups, and assist with other office needs as they arise.
  • Assist our Executive team with occasional requests, such as scheduling, preparing materials, and coordinating logistics.
  • Take on new tasks and responsibilities as the needs of our office evolve.

About You

  • 1-2 years experience in hospitality, food service, or guest services (such as hotels, restaurants, catering, or events) is preferred. Reception or administrative experience is an asset.
  • A warm, friendly, and welcoming personality, with a genuine passion for creating positive experiences for guests, clients, and colleagues.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a busy environment.
  • A proactive and adaptable mindset, with the confidence to work independently, take ownership, and jump in where needed.
  • Clear and professional communication skills, both in person and in writing.
  • Comfort using computers, office software, and phone systems, with the ability to learn new tools quickly.
  • Ability to remain on your feet for extended periods and lift or carry packages, samples, and event supplies weighing up to 25 lbs (11 kg).
