The Sales Coordinator – Rental Operations supports the daily rental and sales operation by coordinating customer service, equipment availability, logistics, inventory, and sales administration. The position serves as a key link between Rental Territory Managers, customers, drivers, transportation providers, and branch teams to ensure rental opportunities are supported efficiently from initial inquiry through equipment return. The role supports strong customer relationships, accurate rental administration, equipment utilization, and overall rental sales performance.

What You Will Be Responsible For
- Provide exceptional customer service by responding to rental inquiries, identifying customer requirements, resolving concerns, and supporting a seamless rental experience.
- Support Rental Territory Managers with customer inquiries, rental opportunities, quotes, agreements, follow-up, and administrative requirements.
- Provide customers and Territory Managers with information regarding equipment selection, availability, operation, and rental solutions.
- Prepare accurate rental quotes, agreements, and supporting documentation in accordance with established pricing and branch practices.
- Manage customer requests, online inquiries, and follow-up activities to ensure timely responses and resolution.
- Support customer account management, new account setup, and credit pre-screening processes.
- Coordinate equipment deliveries, pickups, transfers, and transportation requirements to support efficient scheduling and routing.
- Monitor fleet availability, equipment readiness, inventory status, and rental returns to support customer demand and equipment utilization.
- Coordinate equipment arrivals, condition reporting, returns, and asset tracking to maintain accurate fleet records.
- Maintain accurate customer, rental, equipment, and transaction information within applicable business systems.
- Generate and analyze operational and sales reports to support rental performance, utilization, and decision-making.
- Maintain proficiency in CRM, fleet management, business management, and other systems used to support rental operations.
- Assist with customer research, marketing initiatives, customer events, and other activities that support rental growth and customer relationships.
- Collaborate with branch teams, drivers, transportation providers, and Service personnel to resolve operational requirements and improve the customer experience.
- Identify opportunities to improve rental processes, equipment utilization, sales support, and operational efficiency.
- Perform other duties as assigned.
What We Look For
- Experience in equipment rental, sales support, transportation, customer service, operations coordination, or a related field considered an asset.
- Strong customer service, communication, and relationship-building skills.
- Excellent organizational, coordination, and time-management abilities.
- Ability to manage multiple priorities and changing requirements in a fast-paced environment.
- Proficiency with Microsoft Office and business management systems.
- Strong attention to detail and accuracy in customer, rental, equipment, and financial information.
- Mechanical aptitude and knowledge of heavy equipment is considered an asset.
