About the Role

We are looking for a highly organized and detail-oriented Human Resources Administrator to support our HR team.

This is an entry-level opportunity for someone who enjoys keeping things organized, following processes, and making sure important details do not fall through the cracks. The primary focus of the role will be supporting immigration, work authorization, security, compliance, and employee documentation.

You will work closely with employees and members of the HR and security teams to maintain accurate records, prepare documentation, track deadlines, follow up on outstanding items, and help ensure required processes are completed accurately and on time.

What You'll Do

  • Collect, review, and organize employee documentation for immigration, work authorization, and security processes.
  • Maintain accurate records, trackers, permit expiration dates, application milestones, and security information.
  • Prepare routine letters, forms, and supporting documentation using established templates and procedures.
  • Support immigration and work-authorization applications, renewals, and extensions.
  • Assist with security onboarding, background checks, reference checks, and Controlled Goods documentation.
  • Communicate with employees about required documents, outstanding information, deadlines, and next steps.
  • Follow up on immigration and work-authorization applications, renewals, and extensions to help keep important deadlines and required actions on track.
  • Identify missing or inconsistent information and escalate questions when required.
  • Maintain confidential employee information accurately and responsibly.
  • Support additional HR projects and administrative priorities as needed.

We are looking for someone who is dependable, organized, and comfortable working with detailed and sensitive information.

You should have:

  • Strong attention to detail and accuracy.
  • Excellent organization and time-management skills.
  • The ability to manage multiple deadlines and follow-ups.
  • Strong written and verbal communication skills.
  • Comfort asking questions and learning new processes.
  • Ability to keep sensitive employee information completely confidential.
  • A willingness to learn immigration, work authorization, security, compliance, and HR administrative processes.

What Would Be Considered an Asset

Experience or education related to Human Resources, administration, immigration, compliance, security documentation, or employee records would be considered an asset, but is not listed as a requirement in the new position request.

You're organized, dependable, and detail-oriented, with strong communication skills and a high level of discretion. You're comfortable managing multiple priorities, following established processes, and learning new HR, immigration, security, and compliance procedures.
