We are hiring for our client based in Trail, BC, Canada. They are a premier commercial and industrial construction company delivering high-quality workmanship, strong project management, and reliable service to their clients. We are seeking a detail-oriented and motivated Project & Estimating Coordinator to support our Project Management and Estimating teams.

Position Summary
The Project & Estimating Coordinator provides technical support during both the pre-construction and construction phases of commercial and industrial projects. This role plays a key part in ensuring bids are accurate, projects are well-documented, and communication flows smoothly between office staff, field crews, subcontractors, suppliers, and clients. This position works under the supervision of senior leadership and offers growth potential within the company.

Key Responsibilities

Estimating Support

  • Review drawings, specifications, and tender documents
  • Assist in preparing bid documents and proposal packages
  • Solicit, track, and organize subcontractor and supplier quotations
  • Maintain bid logs and vendor databases
  • Perform quantity take-offs and data entry as directed
  • Help assemble and submit tender packages before deadlines
  • Maintain historical project cost records

Project Management Support

  • Assist with project setup, contracts, and document control
  • Track RFIs, submittals, change orders, and project schedules
  • Prepare meeting minutes and internal reports
  • Maintain organized digital and physical project files
  • Support budget tracking and invoice processing
  • Coordinate communications between project managers, field supervisors, subcontractors, and clients
  • Ensure documentation meets contractual and regulatory requirements

Qualifications

  • 2+ years of experience in construction, project coordination, or a related role (commercial/industrial preferred)
  • Post-secondary education in construction management, business, or a related field is an asset
  • Strong organizational and time-management skills
  • Proficiency in Microsoft Office (Excel, Word, Projects, Outlook)
  • Experience with construction management/estimating software (e.g., Procore, Bluebeam, PlanSwift, or similar) is an asset
  • Experience with AutoCAD/Revit is an asset
  • Excellent written and verbal communication skills
  • Ability to manage multiple deadlines in a fast-paced environment
